Why can't I press Continue on the welcome screen?

Continue unlocks only when at least one channel actually works: a connected mailbox that is not marked Needs reconnecting, or a connected LinkedIn account. You can always press Do this later instead.

  1. On the Connect your mailbox card, click Connect mailbox and calendar and finish signing in to your Google or Microsoft mailbox.
  2. If the card then shows Needs reconnecting or "Connected, but the mailbox isn't usable yet", click Reconnect and sign in again.
  3. During the free trial LinkedIn can't be connected, so use the mailbox to continue.
  4. Or click Do this later and connect from Settings whenever you are ready.

Why does Connect LinkedIn say the LinkedIn account could not be created?

LinkedIn outreach is a paid feature. On the free trial, Connect LinkedIn on the welcome screen cannot add an account. Instead of an error you see the notice LinkedIn is available on the paid plan: "Your free trial covers email outreach. Subscribe to connect your LinkedIn account and send from it." with a Go to Billing button. If you see The LinkedIn account could not be created. on a paid plan, the connection failed for another reason: try again.

  1. Press Continue after connecting your mailbox, or Do this later.
  2. When you are ready, an Owner or Admin subscribes: click Go to Billing, the trial banner's Subscribe → link, or open Settings, Billing.
  3. Then connect LinkedIn in Settings, LinkedIn connection.

I skipped the welcome screen. How do I connect my mailbox now?

The welcome screen is only shown once per workspace, but everything on it is also in Settings.

  1. In the sidebar, click Settings.
  2. Under Sending & channels, click Email deliverability to connect your mailbox and set your email signature and From name.
  3. Click LinkedIn connection to connect LinkedIn (paid plans).

Until a channel is connected, Home shows a red band explaining that nothing can send, with a Fix button that takes you to the right page.

Why did Rainmaker take me to the campaign wizard after the welcome screen?

After Continue or Do this later, Rainmaker opens the campaign wizard when your workspace has no campaigns yet, because creating one is the next step. If the workspace already has campaigns, you go to Home instead.

  1. To create your first campaign, follow the wizard: paste your website and click Read company.
  2. To leave it for later, click Home in the sidebar. You can start again any time with New campaign.

Why couldn't the wizard create my campaigns?

The last step of the wizard saves your segments and creates one campaign per segment. It stops when something is missing, when your role can't create campaigns, or when the draft was already used.

  1. The buyer profile is incomplete. Review the segments, then try again. or "Each segment needs a name, a summary, and at least one target title — and keep between 2 and 10 segments.": complete the segment, then click Create again.
  2. "Finish or remove the ICPs you added: each needs a name, at least one job title, and why they buy.": complete or remove the ICPs you wrote.
  3. "Your role cannot approve campaign creation. Ask an approver, admin, or owner to approve this targeting.": an Approver, Admin or Owner must finish the wizard.
  4. "This draft was already approved or removed. Restart onboarding to build a new one." or "This draft is no longer available. Restart onboarding to build a new one.": open Campaigns to check whether they were already created; if not, start again with New campaign.
  5. Your free trial has ended. Start a subscription in Billing to resume.: an Owner or Admin subscribes first.
  6. The buyer profile could not be saved. or Campaigns could not be created.: wait a moment and try again.

What does Only the United States is on for now mean when I start a campaign?

Your workspace can source people in the United States straight away. Before it can source anyone in Europe, Rainmaker needs your company's legal details: legal company name, privacy contact and registered address. The privacy notice address is optional. The card lists what is still missing. Only Owners and Admins see it.

  1. Click Add company details, or fill in About your company in the wizard after Rainmaker reads your website.
  2. Check anything marked "Read from your website", and type the registered address (it is almost never published online).
  3. Save. All available European markets switch on by themselves; there is no separate step.
  4. If you see "Still needed before European markets can be switched on: …", fill in the fields it names. Or click Skip for now and finish later in Settings, Policies.

Why didn't the product tour start?

The tour starts by itself only the first time you land on Home when all of these are true: your role can create campaigns, the welcome screen is behind you, the workspace has no campaigns yet, and you have never started, skipped or finished the tour in this workspace.

  1. If your workspace already has a campaign, or you skipped the tour before, start it yourself: click Help in the sidebar, then Restart the product tour.
  2. If you don't see that button, your role is Viewer. Viewers don't get the tour.
  3. If the tour seems to stop, go back to the page of its current step. The tour only shows on the page its step belongs to.

How do I restart or stop the product tour?

To stop it, click Skip tour (or the × on the message), then click Yes, skip the tour. To run it again from the first step, click Help in the sidebar, then Restart the product tour.

  1. After skipping you see Tour skipped: "Restart it any time from Help."
  2. Restarting always begins at step one, whether you skipped or finished it before.
  3. If you see Couldn't start the tour, wait a moment and click the button again.

Why can't I save my email signature on the welcome screen?

Only an Owner or Admin can edit and save the Email signature card. Other roles see the fields read-only, without a Save button.

  1. Ask an Owner or Admin to fill in the signature, or to do it later in Settings, Email deliverability.
  2. If you are an Owner or Admin and see That signature could not be saved., check the Website field (for example acme.com) and try again.
  3. If the card keeps showing Loading signature, refresh the page.

What does the red band on Home mean?

The red band appears only when outreach has actually stopped. Each line says why, for example sending is off because your sender details are missing, a campaign is paused, or a mailbox needs reconnecting.

  1. Read the line.
  2. Click Fix next to it. It opens the page where you can solve it.
  3. The blue band underneath is different: it lists things worth knowing while sending continues. Click Details to learn more.

Why don't I see New campaign in the sidebar?

The New campaign button is shown only to roles that can create campaigns: Owner, Admin, Approver and Editor. If your role is Viewer, you can look around but not create campaigns.

  1. Check your role in Settings, Account, under Your role.
  2. Ask an Owner or Admin to change your role if you need to create campaigns.

Is there a Rainmaker mobile app?

No. There is no app to install from an app store. Rainmaker is a web app, and it works in your phone's browser.

  1. Open Rainmaker in your phone's browser and sign in as usual.
  2. Tap the menu button at the top of the screen to open the sidebar. The notifications bell sits next to it.
  3. Your browser may offer to add Rainmaker to your home screen, so it opens like an app.

How do I open the command palette?

Press Cmd+K on a Mac or Ctrl+K on Windows and Linux, from any page. Type part of a page name, an action or a campaign name, then press Enter.

  1. Use the arrow keys to move through the results.
  2. Press Esc to close the palette.
  3. Some entries, like Operations, Billing and Other integrations, only appear for roles that can use them.

Why do my notifications look different from my teammate's?

Read status is personal. When you click Mark all read, the notifications are marked read for you only. Your teammates still see them as unread until they read them.

  1. Open the bell at the top of the sidebar.
  2. Click Mark all read to clear the ones in the list. New ones that arrive afterwards stay unread.
  3. You're all caught up. means you have nothing unread.

How many days are left in my free trial?

The banner at the top of every page shows the days left, for example "12 days left in your free trial — 50 leads, one mailbox, no LinkedIn seat until you subscribe." When the trial is over it says "Your free trial has ended."

  1. Click Subscribe → in the banner to choose a plan.
  2. Only an Owner or Admin can subscribe.
  3. Once you subscribe, the banner disappears.

Why did the getting-started checklist disappear from Home?

The checklist hides once all four steps are done, or after you close it with the ×. Closing it hides it in that browser only.

  1. If you closed it by mistake, open Home in another browser to see it again.
  2. Home then shows a suggested next step instead, such as Start with your first buyer segment or Continue with your campaign's name.
  3. If you see Getting-started checklist unavailable, click Retry. Your other numbers on Home are not affected.

What should I do when Rainmaker says This section hit an error?

Something went wrong while loading that part of the page: "The error was recorded. Try again, or head back to your overview." Our team is told about it automatically.

  1. Click Try again.
  2. If it happens again, click Back to overview and open the page again later.
  3. If you see Page not found ("That page doesn't exist or may have moved. Head back to your overview to keep going."), the link is old or mistyped, or it points to something in another workspace. Switch to the right workspace, or click Back to overview.
  4. If you see Something went wrong ("The error was recorded. Refresh the page to try again."), refresh the page.
  5. If you see Too many requests. Try again in a moment., wait a few seconds before trying again.

Why did the preview page say it is at capacity?

The public preview has limits so it stays fast for everyone. Too many previews from your network — try again shortly. means several previews were run from your network in a short time. The demo is at capacity for today — join the waitlist for full access. means the daily limit was reached.

  1. Wait a little and click Run preview again.
  2. Or skip the preview and sign up: the 14-day trial needs no card and runs on your real market.

Why can't I create a campaign?

Creating campaigns needs the Approver, Admin or Owner role. Editors can read a website and shape the segments, but cannot create the campaigns. Viewers cannot start the setup at all.

  1. If you see Read-only workspace ("An editor, approver, admin, or owner must create campaigns."), you are a Viewer. Ask an admin or owner to change your role.
  2. If you see Approval required to create campaigns and the Create N campaigns button is greyed out, you are an Editor. Ask an approver, admin or owner to run the setup and create the campaigns.
  3. If you see Your workspace role cannot create campaigns. Ask an owner or admin for editor access. or Your role cannot approve campaign creation. Ask an approver, admin, or owner to approve this targeting., your role changed or is too low for that step. Ask an admin or owner.
  4. If you do not see New campaign in the sidebar at all, you are a Viewer.

Why does the new campaign setup say it could not read my website?

Rainmaker could not read the public pages of the website you entered, or the service that reads it was briefly unavailable.

  1. If you see Enter a valid public company website., type a plain public address such as your-company.com.
  2. If you see Rainmaker could not reach this site. Try again in a moment., check that the site opens in a private browser window without a login, then click Read company again.
  3. If you see The AI model service is temporarily unavailable. Try again in a moment., wait a minute and try again.
  4. If it keeps failing, contact support from Help in the sidebar.

Why won't my ICP save during campaign setup?

Each ICP you write needs a name, at least one job title and a reason why they buy, and its name must be unique on the website.

  1. Finish or remove the ICPs you added: each needs a name, at least one job title, and why they buy. Fill in ICP name, Job titles and Why they buy, or click the cross to remove the ICP.
  2. There is already an ICP (name) on this website. Give each ICP its own name. Rename it. Names are compared without regard to capital letters.
  3. A website can have up to 10 ICPs. Remove one to add another. Proposed segments and your own ICPs count together.
  4. The minimum company size is larger than the maximum. Swap the two numbers.
  5. This website is no longer available. Go back and pick another one. Click Back and choose the website again.

Can I skip a buyer segment Rainmaker proposed?

No. Every segment Rainmaker proposes becomes a campaign when you click Create N campaigns. You can edit each segment first, but not remove it.

  1. Edit the segment's name, job titles, countries, language and reason why they buy so it is useful.
  2. If you still do not want it, leave the campaign alone. A campaign sources nobody and sends nothing until someone starts sourcing for it.

Why does my campaign only offer United States markets?

Campaigns can only use markets switched on for the whole workspace, and European markets stay off until your company details are complete.

  1. An admin or owner fills in the legal company name, privacy contact email and registered address (the privacy notice URL is optional), either in About your company during setup or in Settings, under Policies.
  2. Once they are saved, all available European markets switch on by themselves.
  3. Then open the campaign's Settings tab and add the markets under Markets.

The list says All workspace-active markets are selected. Activate more countries in Settings → Data policy. when you have already picked every market available.

Why hasn't my new campaign found any leads yet?

Sourcing never starts by itself. Someone has to start it from the campaign, and the campaign needs a target segment.

  1. Open the campaign's Leads tab and start sourcing, or click Source leads on the Campaigns created screen. You should see Lead sourcing queued. This page will update automatically. If you see Lead sourcing could not be started. Check campaign operations and try again., wait a moment and try again.
  2. If you see Pick a segment first., No segment selected or Campaign segment no longer exists, open the campaign's Settings tab, choose a Target segment under Market and volume, and click Save changes.
  3. If the progress steps show Setup required on Contacts, or you see Live contact sourcing is not connected. Review setup before continuing., sourcing is not available for your workspace right now. Contact support from Help.
  4. Check Markets in the campaign's settings: at least one must be selected.
  5. If your free trial has ended, sourcing stops until you subscribe. See Billing and plan.

Why didn't drafting start for my campaign?

Drafting starts only when someone with the Editor role or above clicks Draft sequence, and only for a campaign that has leads.

  1. If the main button says Add contacts, the campaign has no leads yet. Source leads first.
  2. If it says Drafting, a drafting run is already working. Watch the progress bar, for example Drafting emails — 3 of 12 leads drafted.
  3. If you see Drafting setup, or Research evidence is not connected. Review drafting setup before continuing., drafting is not available for your workspace right now. Contact support from Help.
  4. If you see Drafting could not be queued. Check your connection and try again., check your internet connection and click again.
  5. If you started drafting from the Leads tab and see Drafting could not be queued. Check campaign operations and try again., try again in a moment. Drafting queued. Follow its progress from the campaign overview. means it worked.
  6. If the Draft step shows N blocked, drafts were made but stopped because a claim had no source. Fix them in Review.

Why is there no Launch button on my campaign?

Launch appears only when at least one draft is approved and your role can send (Approver, Admin or Owner).

  1. Approve at least one draft in Review. Until then the main button says Review drafts.
  2. If you are an Editor, ask an approver, admin or owner to launch.
  3. If you see Sending setup instead, no connected mailbox can send yet. See the next question.
  4. If the campaign is already Active or Listening, it is launched. If it is Paused, use Resume.

Why does my campaign say a sending mailbox is required?

A campaign cannot launch or resume until the workspace has a connected mailbox that can send.

  1. In the sidebar, click Settings, then Email deliverability, and connect your Google or Microsoft mailbox.
  2. If a mailbox shows needs reconnecting, reconnect it there.
  3. Go back to the campaign and click Launch or Resume again.

The message reads A sending mailbox is required before this campaign can launch. The Sending setup button means the same thing; click it to open the Mailboxes & Calendar card in Settings, Email deliverability.

Why did launching my campaign say Campaign state could not be changed?

The launch was refused. The usual reason is that there is no approved email left to send.

  1. Check the Overview: Approved, not yet sent must be at least 1. Approve more drafts in Review if it is 0.
  2. If only LinkedIn messages are approved, launching is refused. Approve at least one email.
  3. If you see Campaign state could not be changed. Check your connection and try again., check your internet connection and try again.
  4. If you see Your role is not allowed to perform this action., ask an approver, admin or owner to launch.
  5. If it still fails, reload the page. The campaign may already have been launched or paused by someone else.

Why did my campaign pause by itself?

Rainmaker pauses a campaign on its own to protect your budget, your sender reputation, or a disconnected sender. Nothing restarts until someone clicks Resume.

  1. Paused — budget reached: the daily send budget or the workspace's monthly spend cap was reached. See the next question.
  2. Deliverability paused a campaign (a notification): too many emails bounced or were marked as spam. Once a campaign has sent 20 emails, more than 3% bounces or more than 0.1% spam complaints pause it. This only uses reports from Rainmaker's own sending service, not from your connected mailbox. Check your mailbox health and your leads before resuming.
  3. All your active campaigns paused at once: the workspace's overall bounce or complaint rate was unhealthy.
  4. The campaign's chosen mailbox or LinkedIn account was disconnected. Pick a new sender in the campaign's Settings tab, under Sender, then resume.

What does Paused — budget reached mean on my campaign?

The campaign hit its Daily send budget, or the workspace hit its monthly spend cap, so it stopped sending. Approved messages keep their place in the queue.

  1. To send more today, open the campaign's Settings tab, raise Daily send budget under Volume and budget, and click Save changes.
  2. Click Resume on the Overview. The campaign does not resume by itself the next day.
  3. If the workspace spend cap was reached, an owner can raise it on the Operations page.

Every email sent that day counts against the daily budget, and the day resets at midnight UTC.

Why can't I turn on Autopilot?

Only admins and owners can switch a campaign to Autopilot, and Autopilot needs a daily send budget.

  1. If the choice is greyed out with Requires the autopilot permission. or you see You do not have permission to change autopilot., ask an admin or owner.
  2. If Turn on autopilot stays greyed out, enter a Daily send budget above $0 and up to $10,000.
  3. If you see Autopilot needs a daily send budget before it can be turned on., enter a budget in the Turn on autopilot? window and try again.

Why didn't Autopilot approve my drafts?

Autopilot only approves drafts at the end of a drafting run, only drafts that passed the sourcing check, and only while the campaign is running normally.

  1. Drafts that were waiting before you switched on Autopilot are approved after the next drafting run. Click Draft sequence if there are leads left to draft, or approve the waiting drafts yourself in Review.
  2. Blocked drafts are never approved by Autopilot. Edit or reject them in Review.
  3. If the campaign is Paused or Paused — budget reached, Autopilot approves nothing. Resume it first.
  4. If the deliverability safeguard paused the campaign, Autopilot approves nothing until you resume.
  5. Replies to prospects and meeting bookings always need a person, even on Autopilot.

Why won't my campaign settings save?

The save was refused because of a conflict, a value out of range, or a sender that cannot send.

  1. Settings changed in another session. Refresh before saving. Reload the page and make your change again.
  2. Autopilot is on for this campaign, so the daily send budget cannot be left blank. Enter a budget, or turn autopilot off first.
  3. That mailbox cannot send right now. Reconnect it in Settings → Deliverability, or pick another one.
  4. That LinkedIn account cannot send right now. Reconnect or turn it back on in Settings → LinkedIn, or pick another one.
  5. Check the submitted values and try again. Look for a number out of range: Candidates per run must be 2 to 500, Maximum provider call and Crawl budget cannot be higher than Run data budget, and links must be full web addresses starting with https://.
  6. Campaign settings could not be saved. A market you picked may no longer be switched on for the workspace. Remove it and save again.
  7. Save changes is greyed out: pick at least one market. If you do not see the button at all, your role is Viewer.

Why does my campaign show Campaign goal needs setup?

The campaign's goal is Drive account signups, but it is missing a signup link or signup tracking.

  1. Signup link not configured — replies can't steer anywhere. Open the campaign's Settings tab, fill in Signup / product link under Website / project, and click Save changes.
  2. Signup tracking not connected — signups can't be attributed. Connect your signup source below. In the same card, set up Signup tracking with one of its tabs, then click Send test event to check it.
  3. If you meant to book meetings, switch the Campaign goal to Book meetings and save. The notice goes away.

Why did Refresh from website not find any answers?

Rainmaker could not read readable text on your website, or the website saved for the campaign is wrong.

  1. If you see We couldn't read (website) — the site may need a browser to render. Try again or write your answers below., type your answers directly into each answer card.
  2. Check the Website field under Website / project. It must be a plain domain, such as acme.com.
  3. Upload a company deck with Add your deck so Rainmaker has another source.
  4. If you see Refresh could not be queued., wait a moment and try again.

Why can't I upload my company deck?

Decks must be a PDF of 15MB and 60 pages or less, with real text in it.

  1. That file doesn't look like a PDF. Export your deck as PDF and try again.
  2. We couldn't read text from this PDF — it may be image-only. Export the deck again with selectable text, not as images.
  3. We couldn't read this PDF — it may be corrupted. Export a fresh copy.
  4. That deck could not be uploaded. Try again in a moment. Check the size and page count, then try again.

Why can't I promote a winner in my subject line experiment?

Promotion needs enough evidence: at least two variants must reach the minimum sends, and the difference in reply rate must reach 95% confidence.

  1. Wait for more sends. The note under the experiment says Promotion stays locked until at least two variants reach N sends and the reply-rate difference clears the 95% confidence threshold.
  2. If you see There is not enough statistically significant evidence to promote a winner yet., the result is still too close to call.
  3. To stop without a winner, click Complete without winner.
  4. If you see Complete the campaign's active subject experiment before starting another., finish the experiment that is running or paused first.
  5. If you see Experiment could not be updated., reload the page and try again. If it says Your role is not allowed to perform this action., you need the Editor role or above.

Why does my campaign's sender say needs reconnecting?

The mailbox or LinkedIn account the campaign sends from has lost its connection. The campaign's messages on that channel wait until it is fixed; they are never sent from a teammate's account instead.

  1. Reconnect the mailbox in Settings, under Email deliverability, or the LinkedIn account under LinkedIn connection.
  2. Or open the campaign's Settings tab, pick another sender under Sender, and click Save changes.

Why don't the numbers on a campaign card match the campaign page?

The card's Replies and Meetings count only the current calendar month, while the campaign's Overview counts everything since the campaign started.

  1. Use the card for this month's activity.
  2. Open the campaign for its all-time totals.

Can I delete or archive a campaign?

No. There is no delete or archive for campaigns. Pause the campaign instead: it stays in the list and sends nothing.

  1. Open the campaign and click Pause (or Pause outreach on another tab).
  2. Rename it if you want to mark it as unused: click the pencil next to its name.

Why can't I rename my campaign?

Renaming needs the Editor role or above, and a name of 1 to 120 characters.

  1. If you do not see the pencil next to the name, you are a Viewer.
  2. If you see Campaign could not be renamed., shorten the name to 120 characters or less and try again.

Why did my campaign's sourcing stop or save no contacts?

The sourcing run ended early, found nobody who fits, or found people it could not keep. The Leads tab says which.

  1. Sourcing budget blocked this run: raise Run data budget or Maximum provider call in the campaign's Settings tab, under Volume and budget, then retry.
  2. A data source limit was reached: wait a while, then retry. Completed work is kept.
  3. This lane finished without finding any contacts.: widen the segment's job titles, the Markets, or the Sourcing steer.
  4. This lane selected contacts, but none of them could be saved or N of the selected contacts could not be saved: read the reasons, such as had no verified email or were outside the campaign's markets, and adjust markets or targeting.
  5. Sourcing is taking longer than expected: retry to start a fresh run, or import a CSV to continue now.
  6. Sourcing stopped, A data source refused the search, Both discovery paths stopped, Candidate processing stopped or Sourcing needs attention: retry the run. If it keeps failing, contact support from Help.
  7. Your free trial has ended — subscribe to keep sourcing ("The leads you already have stay in this campaign. Once you subscribe, source again to find more.") or The free trial includes 50 sourced leads — subscribe to source more ("Your workspace already has 50 leads. Once you subscribe, source again to find more."): your free trial is over or has reached its 50-lead limit. Click Go to Billing in the notice to subscribe, then source again.

Why does my campaign page say it could not be loaded?

The page could not fetch its data, usually because of a brief connection problem or because you are not signed in to a workspace.

  1. Reload the page. This fixes Campaigns could not be loaded., Campaign could not be loaded., Campaign settings could not be loaded., Activity could not be loaded., Experiments could not be loaded., Answers could not be loaded. and Sequence could not be loaded. in most cases. On the Activity tab you can also click Refresh.
  2. If you see Sign in and select a workspace. or Sign in and select a workspace to view campaigns., sign in again and pick your workspace.
  3. If you see Too many requests. Try again in a moment., wait a few seconds before clicking again.
  4. If the page still fails, check that the campaign belongs to the workspace you are in, then contact support from Help.

Why did sourcing add no leads to my campaign?

Either the run is still working, it stopped with an error, or it finished but nobody it found passed the checks (right markets, a verified email, not opted out, not at a company you rejected).

  1. Open the campaign's Leads tab. If you see Sourcing contacts or Sourcing in progress, wait: contacts can take a few minutes to appear after they are found.
  2. If a red notice such as Sourcing stopped or Sourcing needs attention is showing, follow What do the sourcing stopped messages on the Leads tab mean?.
  3. If the run finished, read the cards for People-first and Account and signal-first, and the Why these leads box. They say how many people were found and why the rest were not saved, for example No verified email or Out of geo.
  4. If most people were Out of geo, check the campaign's Markets on its Settings tab and your workspace's active markets.
  5. If the segment's job titles are very narrow, widen them, or add target companies so Rainmaker searches specific companies.
  6. On the free trial, the banner at the top of the page reads "… days left in your free trial — 50 leads, one mailbox, no LinkedIn seat until you subscribe." or "Your free trial has ended. Subscribe to keep sourcing, sending, and connecting LinkedIn." Once the workspace holds 50 leads in total (every campaign and source counts), or the trial has ended, a run adds nobody and the Leads tab says so: The free trial includes 50 sourced leads — subscribe to source more ("Your workspace already has 50 leads. Once you subscribe, source again to find more."), or Your free trial has ended — subscribe to keep sourcing ("The leads you already have stay in this campaign. Once you subscribe, source again to find more."). Click Go to Billing in the notice, Subscribe in the banner, or go to Settings, Billing.

You can always add people yourself with Add lead manually (type one in or import a CSV), or from your own LinkedIn network.

Why is the Source more button greyed out?

The button only works for someone who can edit campaigns, when no run is already going, and when the campaign has a segment to search for.

  1. Hover the button. Pick a segment first. or This campaign's segment no longer exists — pick one. means the campaign needs a segment: click Pick a segment in the warning notice, choose a Target segment in the campaign's settings, and save.
  2. If the button reads Starting or Sourcing, a run is already working. Wait for it to finish.
  3. If you are a Viewer, ask an Owner or Admin to change your role, or to run sourcing for you.
  4. If you see Sourcing setup instead of Source more, or the notice Live contact sourcing is not connected, live sourcing is not available right now. Use Add lead manually to type in people or import a CSV meanwhile.

What does "Sourcing is taking longer than expected" mean?

A run has been working for about six minutes without saving a single contact, so it may have stalled.

  1. Click Retry sourcing in the notice to start a fresh run.
  2. If you need leads right away, click Add lead manually and import a CSV.
  3. If retrying stalls again, check the run's notices after it ends. If it keeps happening, reply to any email Rainmaker has sent you to reach a person.

What do the sourcing stopped messages on the Leads tab mean?

A red notice means the latest run stopped. Anything it had already saved stays on your list. The title tells you why:

  1. Sourcing budget blocked this run: the campaign's data budget is too small. On the campaign's Settings tab, raise Run data budget under Volume and budget, then click Retry sourcing or Source more.
  2. A data source limit was reached ("Rainmaker kept everything it had already found. Wait a little, then try again."): a data source asked Rainmaker to slow down. Wait a while, then run sourcing again.
  3. A data source refused the search, Both discovery paths stopped, Candidate processing stopped, AI scoring is blocked, AI scoring is unavailable or Sourcing storage needs repair: a problem on Rainmaker's side, not something in your campaign. Try again later; if it repeats, reply to any email Rainmaker has sent you to reach a person.
  4. Sourcing stopped ("No contacts were added. Review the sourcing run, then retry this stage.") or Sourcing needs attention ("This run stopped before contacts were saved. Review the recorded run detail, then retry the stage."): the run ended before it saved anyone. A common cause is a campaign with no markets chosen. Check the campaign's Markets, then retry.
  5. Your free trial has ended — subscribe to keep sourcing ("The leads you already have stay in this campaign. Once you subscribe, source again to find more."): your free trial is over. An Owner or Admin clicks Go to Billing and subscribes, then you run sourcing again.
  6. The free trial includes 50 sourced leads — subscribe to source more ("Your workspace already has 50 leads. Once you subscribe, source again to find more."): your free trial workspace already holds 50 leads. Subscribe from Go to Billing to source more.

The button in the notice (Open operations, Review run, Review sourcing or Go to Billing) opens the page with the run's details, the sourcing setup or Billing.

Why were some selected contacts not saved as leads?

Rainmaker only saves people who pass its checks. Each search card says how many were not saved and why.

  1. had no verified email or had an email that could not be verified: no working address could be confirmed. Rainmaker does not save people it cannot reach safely.
  2. were outside the campaign's markets: the person is in a country the campaign does not cover.
  3. were suppressed or unreachable: they opted out, are on a do-not-contact list, or their address bounced.
  4. belonged to a company you rejected: accept the company again on the Companies page if you changed your mind.
  5. failed during enrichment: looking them up failed, or the run's data budget ran out. Run sourcing again, or raise the Run data budget.
  6. were still being processed when the run ended: run sourcing again.

Why does Source more find nobody new for my campaign?

Once Rainmaker has worked through everyone it can find for a campaign's segment and markets, new runs have nobody new to add. People already on the list are never added twice.

  1. Add target companies on the Leads tab: Rainmaker searches each one for people with the campaign's job titles.
  2. Choose Your LinkedIn network in Source more to add people you are already connected to.
  3. Import a list with Add lead manually, Import a CSV.
  4. To reach a different audience, start a new campaign with a different segment or markets.

Why did my CSV import reject some rows?

Each row needs a company website, a way to reach the person, and a country that is active for your workspace. The result notice lists how many rows failed for each reason.

  1. row could not be read: a value is malformed, for example an invalid email address or a LinkedIn link that is not a profile.
  2. no company website (and none derivable from the email): add a domain (or website) column, or use work email addresses.
  3. no email and no LinkedIn URL: add at least one of them.
  4. country missing or not activated for this workspace: fill the country column with a two-letter code such as FR or US, for a country your workspace has activated.
  5. contact previously opted out: this person asked not to be contacted. Rainmaker will not add them.

If the whole file fails with The CSV could not be imported. Check its headers, row count, and contact fields., check that the first row holds column headers, that the file has no more than 1,000 rows and is under about 1 MB, and that it is saved as CSV. Download template in the import window gives you a file with the right headers.

Rows counted as duplicates skipped are people already on this campaign's list.

Why can't I import leads from HubSpot or Pipedrive?

The CRM import needs a connected CRM, a confirmed country, and at least one lead already on the campaign.

  1. The Import CRM controls sit in the toolbar above the lead list, which only appears once the campaign has a lead. On an empty campaign, add a first lead manually or by CSV.
  2. Set the second dropdown to US confirmed. Import CRM stays greyed out on Country unconfirmed. Contacts with no country in your CRM are treated as being in the US.
  3. If you see Contacts could not be imported. Confirm the integration is connected., an Owner or Admin must connect HubSpot or Pipedrive in Settings, Other integrations first.
  4. Rows can still be rejected for the same reasons as a CSV import, for example country missing or not activated for this workspace when the US is not an active market.

Rainmaker imports up to 1,000 contacts per click.

Why can't I add a lead manually?

The message in the Add lead window says what is wrong:

  1. This person is already on this campaign's list.: someone with that email or LinkedIn profile is already a lead here.
  2. This address has opted out, so it can't be added.: the person asked not to be contacted.
  3. That country wasn't recognised. Use the two-letter code, like FR or US.: fix the Country field.
  4. Check the details — a first name, a country, and either an email or a LinkedIn profile URL are required.: fill in the missing field. The LinkedIn URL must be a profile link (it contains /in/).
  5. You don't have permission to add leads to this campaign.: Viewers cannot add leads.
  6. This campaign is no longer available. Reload the page and try again.: the campaign was deleted or you switched workspace.
  7. The lead could not be added. Check the details and try again. or The lead could not be added. Check your connection and try again.: check the fields and your internet connection, then click Add lead again.
  8. The lead was added, but the refreshed lead list could not be loaded. Reload the page to confirm the latest state.: the lead was saved. Reload the page to see it.

Why won't Rainmaker draft messages for some of my leads?

Rainmaker does not research or draft for leads with a fit score below 60, for rejected leads, or for leads it cannot reach.

  1. Check the Fit column. Below 60 means the person is a weak match for the segment; read Why this lead to see why.
  2. If you know a lead is right anyway, add them again by hand or by CSV with Skip fitness scoring ticked: those leads are drafted regardless of score. People found at your target companies are also drafted whatever their score.
  3. A lead whose Method is On hold has no verified email and no LinkedIn profile, so there is nothing to draft for.
  4. Leads with a meeting booked, or snoozed until a date, are held until then.

Why does a lead say Unscored or show a dash for fit?

Unscored means nothing has scored the lead yet. A dash means you vouched for the lead yourself, so it was never meant to be scored.

  1. Imported leads are scored in the background a short while after the import. Reload the page later.
  2. Leads you added with Type one lead manually, or imported with Skip fitness scoring, show a dash and are drafted regardless of score.
  3. A lead that reads Promoted from a phone-only contact — not yet scored against the persona. under Why this lead is still waiting for its first score.

What does the status under a lead's email address mean?

It says whether Rainmaker can safely email that address.

  1. sendable: verified; Rainmaker can email it.
  2. stale: not verified yet, or the last check expired. Rainmaker checks it again before sending. If you know it works, open the lead and click Mark email as valid.
  3. quarantined: the check could not confirm it, for example on a catch-all domain. Rainmaker does not email it.
  4. blocked: the check found a real problem, or the person opted out. It cannot be overridden.
  5. missing: there is no address, so the lead can only be reached on LinkedIn.

If Mark email as valid fails, the message says why: This email is already verified as sendable., This address has opted out or is on the suppression list — it can't be marked sendable., This lead has no email address to vouch for., that the check found a specific problem with the address, or This email could not be marked valid. (try again later).

Why can't I change a lead's method to Email first or LinkedIn first?

A method is only offered when that channel can actually reach the lead.

  1. Email first — no sendable email is greyed out until the lead's address is verified as sendable. If you know it works and the status is stale, click Mark email as valid first.
  2. LinkedIn first — no LinkedIn profile is greyed out until the lead has a valid LinkedIn profile link.
  3. If you see This lead has no valid LinkedIn profile on file, so LinkedIn-first can't be selected. Add a LinkedIn profile URL first. or This lead's email isn't verified as sendable, so Email-first can't be selected., the same rule applied when you saved.
  4. Viewers cannot change the method; the dropdown is greyed out for them.

Why can't I export my leads, or why are some missing from the export?

Only Owners and Admins can export, and the file leaves out people Rainmaker must not hand out.

  1. If you don't see Export CSV, your role is Approver, Editor or Viewer, or the campaign has no leads yet. Ask an Owner or Admin.
  2. People who opted out or are on a do-not-contact list are not in the file.
  3. Leads with no email address (LinkedIn-only leads) are not in the file.
  4. Rejected leads are included, with their status in the status column.
  5. If the download fails, your browser may open a short error page instead of a file. Go back to the Leads tab and click Export CSV again.

Why couldn't I reject a lead?

The lead may have changed since the page loaded, or your role may not allow it.

  1. This lead is no longer available. Refresh the list and try again.: reload the page.
  2. The lead could not be rejected. Refresh the list and try again.: reload and try once more.
  3. When rejecting several at once, the notice says how many worked and how many did not, for example 2 leads were rejected. 1 selected lead could not be rejected. Reload and retry the rest. Selected leads could not be rejected. Refresh the list and try again. means none of them went through.
  4. The lead was rejected, but refreshed campaign data could not be loaded. Reload the page to confirm the latest state. or Accepted lead rejections were saved, but refreshed campaign data could not be loaded. Reload the page to confirm the latest state.: the rejection worked; reload to see the updated list.
  5. Reject N is greyed out while a selected lead is still being rejected.
  6. Viewers do not see the reject buttons.

Why did my target company search fail or find nobody?

A target company is searched only for people with the campaign's job titles, and only within the campaign's data budget.

  1. No matching people found: nobody there has one of the campaign's job titles. Check the titles in the campaign's segment.
  2. No more people found at this company: earlier searches already found everyone who matches.
  3. N people found with no leads added: the people found did not pass the checks, for example no verified email.
  4. Search failed, sometimes with a short reason: click Search again. If it keeps failing, check the campaign's data budget and your plan.
  5. This company is already being searched.: wait for the current search to finish.
  6. Search failed: This company was rejected or has no website, so it was not searched.: accept the company again on the Companies page, or add it with its website, then click Search again.
  7. The search could not be started., The company could not be removed from this campaign. or Target companies could not be loaded.: reload the page and try again.

Why can't I add a company or add it to a campaign?

Companies are added by their website, and a company must have a website and must not be rejected to be searched.

  1. That doesn't look like a website address. Try something like acme.com.: type the bare domain.
  2. That website could not be read. Check the address.: check the spelling, or try the company's main domain.
  3. Use a two-letter country code, like FR or GB. or Add the company's name.: fix the field.
  4. skipped: no website to search.: that company has no website on file, so it cannot be searched.
  5. skipped: rejected. Accept it first.: click Accept on the company, then add it again.
  6. Add at most 100 company and campaign pairs at a time.: select fewer companies or campaigns.
  7. A company that already was a target: use Search again on the campaign's Leads tab.

Why do I need a reason to reject a company?

A rejection removes the company from future sourcing in every campaign, so Rainmaker asks you to say why. Accepting needs no reason.

  1. Click Reject, type a short reason such as "competitor" or "too small", and click Confirm.
  2. For several companies, tick them, click Reject all, type one reason and click Confirm reject.
  3. Without a reason you see Add a reason before rejecting this account. or Add a reason before rejecting these accounts.

Can the same person be a lead in two campaigns?

Yes. Within one campaign a person is never added twice, but the same person can be a lead in several campaigns.

  1. On the Contacts page they appear as one row, with each campaign shown as a badge.
  2. When they reply in one campaign, Rainmaker pauses the emails still queued for them in your other campaigns.
  3. Adding people from your own LinkedIn network is stricter: anyone who is already a lead in any campaign is left out.

Why does the Leads tab say "Campaign leads could not be loaded"?

The list could not be fetched, usually because of a dropped connection or because you switched workspace.

  1. Reload the page.
  2. If you see Sign in and select a workspace to view campaign leads., sign in again and pick the right workspace.
  3. Campaign leads could not be refreshed. Reload the page to confirm the latest state. means an automatic refresh failed while sourcing ran. The run itself is not affected; reload the page.
  4. Contacts were imported, but the refreshed lead list could not be loaded. Reload the page to confirm the latest state. and Lead sourcing was queued, but campaign progress could not be refreshed. Reload the page to confirm the latest state. mean your action worked; only the refresh failed.
  5. Lead details could not be loaded. in a lead's panel: close the panel and open the lead again.
  6. On the Companies page, Accounts could not be loaded. or Account details could not be loaded.: click Refresh, or close and reopen the company.

Why can't I see my teammate's LinkedIn network?

Each person's LinkedIn network is private to them. You only see the connections of LinkedIn accounts you connected yourself, and nobody else sees yours. Owners and Admins get no exception.

  1. To use a teammate's network, ask them to add the people to the campaign themselves, from Source more, Your LinkedIn network.
  2. To use your own network, connect your own LinkedIn account in Settings, LinkedIn connection, then import it under Contacts, Your own network.

Does importing my LinkedIn connections message them or make them leads?

No. Importing only reads the list of people you are connected to so you can see who you already know. They are not leads, and nothing is sent to them.

  1. People become leads only when you add them to a campaign from Source more, Your LinkedIn network.
  2. Even then, nothing is sent until their drafts are approved.

Why did my LinkedIn connections import stop?

The Your own network tab shows The import stopped with a reason. Fix the reason, then click Try again.

  1. This LinkedIn account is not connected. Reconnect it in Settings, then sync again.: reconnect the account in Settings, LinkedIn connection, then click Try again.
  2. LinkedIn kept refusing the connection list, so the import stopped. Try "Sync now" later. (followed by LinkedIn's own short reason in brackets): LinkedIn is limiting requests. Wait a few hours, then try again.
  3. This LinkedIn account was removed. or This LinkedIn account now belongs to someone else.: the account is no longer yours in this workspace. Connect your own account to import your network.
  4. LinkedIn returned a connection list this app does not understand. The team has been notified. or LinkedIn did not return your connections.: try again later. If it keeps happening, reply to any email Rainmaker has sent you to reach a person.
  5. The import could not be started. Check that this LinkedIn account is still connected, then try again.: the import never began. Check the account in Settings, LinkedIn connection.

How long does importing my LinkedIn connections take?

It depends on the size of your network. Rainmaker reads your connections a page at a time, a minute or two apart, so LinkedIn sees a person browsing rather than a script.

  1. Watch the progress line, for example Importing… 1,000 connections so far · 1 page read.
  2. You can leave the page; the import carries on and connections appear as they are read.
  3. When it finishes, the line reads N connections imported · last synced …. Rainmaker then picks up new connections by itself every few hours.

Why is "Your LinkedIn network" greyed out in Source more?

The option needs a LinkedIn account you connected yourself, connected right now, and a role that can edit campaigns. The reason is shown under the option.

  1. Connect your own LinkedIn account first. Only accounts you connected yourself are offered; teammates' networks stay private to them.: connect your account in Settings, LinkedIn connection. On the free trial you cannot connect one until you subscribe.
  2. Your LinkedIn account isn't connected right now. Reconnect it in Settings → LinkedIn connection.: reconnect it.
  3. Your role can't add leads to this campaign.: Viewers cannot add leads.

Why is someone from my LinkedIn network missing from the Source more list?

The list shows only people who match the campaign's ICP, and it always leaves out people who cannot be added.

  1. Tick Show all connections to see people who don't match the ICP's job titles.
  2. Read the Not shown line: people who are already leads in any campaign, who opted out, who work at your company, or who are without a profile link are never listed.
  3. Use Search name, title, or company: at most 500 people are listed at a time.
  4. If they are not in your imported network at all, click Sync now under Contacts, Your own network to read your connections again.
  5. Check that you picked the right LinkedIn account at the top of the window.

Why can't I add people from my LinkedIn network to this campaign?

The window shows a notice instead of the list, or the add is refused with a message. Each one says what to fix:

  1. This campaign sends LinkedIn messages only from "…" or This campaign sends LinkedIn messages from another account, so people from this network can't be added to it.: the campaign is set to send from a different LinkedIn account. Pick that account's network if it is yours, or change the campaign's LinkedIn sender (Sender settings) to your account.
  2. Your network isn't imported yet or Your network is still importing: import it under Contacts, Your own network, or wait for the import to finish.
  3. Pick a segment first: choose a Target segment in the campaign's settings.
  4. This LinkedIn account isn't connected or This LinkedIn account isn't connected right now. Reconnect it in Settings → LinkedIn connection.: reconnect the account.
  5. Add at most 200 people at a time.: select fewer and add them in batches.
  6. You don't have permission to add leads to this campaign.: Viewers cannot add leads.
  7. This LinkedIn account or campaign is no longer available. Reload the page and try again.: reload the page.

You don't choose a country: Rainmaker detects each person's country from their LinkedIn profile after the add.

After an add, could not be added (already a lead elsewhere, opted out, or no longer in your network) counts people who were skipped on a final check.

Why does a lead from my LinkedIn network say Detecting country or Outside campaign markets?

Rainmaker reads the country of each person you add from your LinkedIn network from their LinkedIn profile, one person at a time, and applies that country's rules. Until it knows, nothing is drafted or sent to them.

  1. Detecting country…: Rainmaker is still reading their profile. Wait; for a large batch this can take a while. Their drafts and sends wait until the country is known.
  2. Outside campaign markets: the person is in a country this campaign doesn't target, so Rainmaker never drafts or sends anything to them. To reach them, add their market to the campaign (and to your workspace in Settings, Policies).
  3. Country unknown — strictest rules applied: their country couldn't be found, so the strictest (European) rules apply to every message. Sending to them needs an active European market with your company's details complete.

Why are only some people from my network ticked when I open Source more?

If your window shows Strong match and Possible match badges, Rainmaker ticks the Strong match people for you: those whose role and type of company both fit the ICP. Possible match people fit on only one of the two and are never ticked for you.

  1. Read the reason next to each badge to see what matched.
  2. Tick any Possible match people you want, or untick strong ones you don't.
  3. While "Checking … company websites…" shows, more people can move up to Strong match and be ticked, until you change the selection yourself.

If you don't see these badges, nobody is ticked for you: tick the people you want.

Will Rainmaker send a connection request to people from my network?

No. You are already connected, so their first touch is a direct message from your LinkedIn account, labelled First message in Review.

  1. Every message to them goes out only from the account they are connected to, whatever the campaign's sender setting says.
  2. Nothing is sent until someone approves the drafts.

Why are LinkedIn messages to people from my network waiting?

People added from your network can only be messaged from the LinkedIn account they are connected to. When that account cannot send, their approved messages wait. They are never sent from a teammate's account instead.

  1. The campaign's Leads tab shows LinkedIn messages to people from "…"'s network are waiting. Click LinkedIn settings.
  2. If the account is disconnected or needs attention, reconnect it.
  3. If it is paused, turn it back on.
  4. If it reached today's sending limit, the messages go out on a later day by themselves.
  5. To reply to one of them now, send the reply from that account in LinkedIn yourself, then mark it sent. A reply sent from Rainmaker is refused with a message that names the account, for example "… has reached its LinkedIn send limit for today — this person is connected to that account only."

What happens to my imported network if I disconnect LinkedIn?

Rainmaker deletes the account's imported connections at once. People you already added from that network stay on their campaigns.

  1. Their messages wait until the account is reconnected, because only that account may message them.
  2. After reconnecting, click Import my connections under Contacts, Your own network to bring your network back.

Why does a person appear twice, or only once, on the Contacts page?

The Sourced by Rainmaker tab groups a person's campaigns into one row by their email address, or by their LinkedIn profile link when there is no email.

  1. A person in three campaigns with the same email is one row with three campaign badges.
  2. A person known only by email in one campaign and only by LinkedIn in another shows as two rows, because Rainmaker cannot be sure they are the same person.
  3. Name, title and company come from the most recent campaign they joined; Fit is their best score; Added is the first date.

What does the status on the Contacts page mean?

It is the furthest point the person reached in any of their campaigns, from Sourced to Replied.

  1. Sourced and Enriched: found, not scored yet.
  2. Scored: scored, or added by you without scoring.
  3. Approved and Contacted: approved for outreach, or at least one message sent.
  4. Replied: they answered.
  5. Rejected: rejected in every campaign they are in.

To see a person's progress in one campaign, click that campaign's badge.

Why does the Contacts page say it could not be loaded?

Rainmaker could not fetch the list this time. Nothing was lost.

  1. Contacts could not be loaded. on Sourced by Rainmaker: reload the page.
  2. Your LinkedIn accounts could not be loaded. or Your network could not be loaded. on Your own network or in the Source more window: reload the page, or close the window and open it again.
  3. The import status could not be loaded.: only the progress line failed. The import carries on; reload the page to see it.

Why can't I approve this draft?

The draft is Blocked: it breaks a sourcing or length rule, so its Approve button is disabled (hover text "Blocked by source validation"). Blocked drafts can never be approved or sent, and Autopilot never approves them either.

  1. Read the red Approval blocked notice on the draft's card. It lists one reason per sentence, such as "Sentence 3 states a fact with no source — add a sourced claim or remove it."
  2. If the reason is length or a sentence you can rewrite, click Edit, fix it, and click Save edit. Then approve it.
  3. If the sentence needs a source it does not have, click Request redraft with a note on what to drop, or Reject the draft.

If you see no decision buttons at all, your role cannot approve. If you click Approve and see "This draft cannot be approved:" followed by a reason, the final check at approval found a problem; fix it the same way.

What does "states a fact with no source" mean on a draft?

"Sentence N states a fact with no source — add a sourced claim or remove it." means that sentence claims something about the prospect or their company, but Rainmaker has no source that backs it. Rainmaker's rule is no source, no send, so the draft is blocked.

  1. You cannot attach a new source while editing, and editing cannot delete a sentence (a sentence cannot be left empty).
  2. Click Request redraft on that person and write a note such as "drop the sentence about their headcount", then click Redraft sequence.
  3. Or click Reject to turn the draft down.

The similar message "Sentence N cites a source that does not exist." means the sentence points to a source that is not on record for this person. Fix it the same way. The general notice "This draft contains an unsourced factual sentence and cannot be approved." or "An unsourced factual sentence must be removed or grounded before this message can send." means the same thing without naming the sentence.

What does "is not supported by its source" mean on a draft?

The sentence cites a real source, but the source does not actually say what the sentence says. The notice reads "Sentence N is not supported by its source —" followed by a short explanation of what the source is missing.

  1. Click the citation number in the sentence to read the source excerpt.
  2. Click Edit and rewrite the sentence so it says only what the excerpt says, then click Save edit. Once you change the sentence, this block is lifted. Rainmaker trusts your rewrite, so make sure it is accurate.
  3. Or click Request redraft or Reject.

Why is my draft blocked for an uncited sentence, a nudge line or a meeting ask?

Only a short list of sentences may appear without a source: greetings such as "Hi Dana,", sign-offs, and a few soft asks. The first email may also carry one sentence of reasoning that states no checkable fact. Anything else without a source is blocked.

  • "Sentence N is uncited and is not an approved greeting, closing, or ask." The sentence is none of the allowed forms. Rewrite it as a plain greeting, sign-off or ask, or use Request redraft.
  • "Sentence N reads like a follow-up, but this is the first message to this person — rewrite it or request a redraft." A follow-up line such as "Just following up on my note below." appears in the first email, where there is nothing to follow up on. Use Request redraft, or rewrite that sentence.
  • "Sentence N asks for a meeting. This campaign's goal is account signups, so drafts can't ask for a meeting — rewrite it or request a redraft." A call ask such as "Open to a 15-minute call?" appears in a campaign whose goal is getting people to create an account. Use Request redraft; the new draft uses the sign-up ask instead.
  • "Sentence N can't be sent as written — edit it or request a redraft." Another rule blocked that sentence. Edit it, or use Request redraft.

Why is my email draft blocked for being too long?

The notice "This draft is N words (limit M) — trim it down." means the email is longer than the word limit for outreach emails.

  1. Click Edit on the draft.
  2. Shorten the sentences until the counter under the draft (for example "148 / 150 words") is within the limit. It turns red while you are over.
  3. Click Save edit, then Approve.

LinkedIn connection notes have LinkedIn's own 300-character limit instead; a longer edit is refused with "LinkedIn notes must be 300 characters or fewer."

Why did my edited draft go back to waiting for approval?

Saving an edit always puts the draft back to waiting, even if it was approved before, so that someone approves the final wording. Rainmaker also re-checks the edited draft against the source rules straight away.

  1. After Save edit you see Draft updated and the card shows Review again.
  2. Read it once more and click Approve.
  3. If the card shows Approval blocked after your edit, the new wording still breaks a rule. Read the reason under the sentence.

If you see "Draft saved. The batch could not be reloaded, so citation markers may be missing until you refresh the page.", your edit was saved; refresh the page to see the citation numbers again. If you see The edited draft could not be saved., nothing was saved: check that no sentence is empty and try again.

Why don't I see Approve, Edit or Reject buttons in Review?

Only owners, admins and approvers can decide on drafts. Editors and viewers can open Review and read every draft and source, but the decision buttons, Approve all and Request redraft are hidden for them.

  1. Check your role with a workspace owner or admin.
  2. Ask them to make you an approver if you need to approve drafts.

Buttons are also hidden on drafts that are already decided (approved, rejected or sent). If you try anyway, you see "Your role is not allowed to perform this action."

Why is Review empty when my campaign has leads?

Review only shows drafts waiting for a decision. If it says No drafts awaiting review, either nothing has been drafted yet, drafting is still running, or every draft has been decided.

  1. Open the campaign's Overview. If the main button reads Draft sequence, nothing has been drafted yet; click it. You can also click Draft sequence on the Leads tab to draft leads that are still waiting.
  2. If drafting is running, a progress bar shows "Drafting emails — N of M leads drafted". Drafts appear in Review as each group of leads finishes.
  3. Switch the filter on the Approvals page to Show resolved to see batches you already decided.
  4. Some leads are never drafted, for example leads with a fit score under 60 or with no verified source. See Leads that are not drafted.

Why does Request redraft say "Nothing pending to redraft for this person"?

A redraft only rewrites drafts that are still waiting or blocked. Nothing pending to redraft for this person. means every draft for that person has already been approved, rejected or sent, so there is nothing left to rewrite.

  1. Rejected drafts are not drafted again. People whose drafts were all blocked are drafted afresh when you click Draft sequence on the campaign's Leads tab.
  2. If you see The redraft could not be requested., try again in a moment.

The Redraft sequence button stays disabled until you write a note or pick a different language in Redraft in.

How do I change the language of a drafted sequence?

Use Request redraft on that person and pick the language in Redraft in. The person's header shows the current language, for example "Drafted in French — to change the sending language, use Request redraft."

  1. Open the batch and select the person.
  2. Click Request redraft.
  3. In Redraft in, pick English, French, German, Spanish, Italian or Dutch, or Auto — lead's country/campaign.
  4. Click Redraft sequence.

To read a foreign-language draft without changing it, tick Show in English. That translation is for review only; the original is what sends.

Why does Report sent fail for a LinkedIn message?

There are two common reasons, and both leave the message waiting as approved.

  • This manual send could not be recorded. You tried to report a follow-up message before the person accepted your connection request. Follow-ups can only be reported after acceptance. Press Mark accepted on the connection request first (once the person has really accepted on LinkedIn), then report the follow-up.
  • The LinkedIn reporting cap has been reached for today. Your workspace has sent or reported its daily number of LinkedIn messages (25 by default), counted from midnight UTC. Report it again tomorrow.

Report sent only appears on approved LinkedIn messages and only for owners, admins and approvers.

Why does copying a LinkedIn note say clipboard access was denied?

Your browser blocked Rainmaker from writing to the clipboard. The message reads "Clipboard access was denied. Select the note text to copy it manually." (or "Clipboard access was blocked by the browser." on the LinkedIn tab).

  1. Select the note text on the card with your mouse and copy it with your keyboard.
  2. To stop it happening, allow clipboard access for Rainmaker in your browser's site settings.

When does the LinkedIn tab appear in Review?

The LinkedIn tab is a worklist for LinkedIn messages that need a person. It appears only when LinkedIn automation is off, no connected LinkedIn account can send, a LinkedIn send failed or was never confirmed, or a sent connection request is still waiting for Mark accepted. When automation is handling everything, the tab hides and the Approvals tab is all you need.

What are the proposed actions at the top of Review?

Proposed actions are changes Rainmaker suggests but will not carry out without a person. They include meeting cards filed from prospect replies ("Dana Smith agreed to 2026-10-08 14:00 UTC — Book it?" or "... asked to cancel the ... meeting — Cancel it?") and, if your workspace has Ask, changes you asked Ask to make.

  1. Read the Action column. Times are in UTC.
  2. Click Approve to carry it out or Reject to drop it.
  3. If a teammate decided first, the row shows Already decided by their email; nothing runs twice.

Only owners, admins and approvers can decide; others see "Your role can't decide proposals." The section disappears when nothing is waiting.

What does "Stuck — retry or reject" mean on a proposed action?

The action was approved but could not finish, for example because your calendar could not be checked at that moment. Nothing was done yet.

  1. Click Retry to try again now.
  2. Or click Reject to drop it.

If a row says Approved, but the action failed to execute., the action could not be done at all, for example the meeting time had already passed or was no longer free. Handle it from the Inbox instead. You also get a notification such as "An action you approved failed — it could not book a meeting."

What does the number next to Review in the sidebar count?

It counts the work waiting for you: drafts waiting for a decision, plus approved LinkedIn messages that are waiting to be sent. The Approvals (N) tab shows the first number and the LinkedIn (N) tab the second.

Approved LinkedIn messages stay in the count until they are sent, even when automation will send them for you.

How do I check where a sentence in a draft came from?

Click the number in brackets after the sentence, for example [2]. The matching source opens below the message with its type (such as Job posting or Company website), its website, a High, Medium or Low confidence meter, when it was captured, and the exact excerpt from the page.

  1. Click Show full excerpt to read the whole quote.
  2. Click the source label to open the original page.
  3. If the sentence says more than the excerpt does, edit the sentence or reject the draft.

What do High, Medium and Low mean next to a source?

They show how confident Rainmaker is that the source supports the claim, on a 0 to 100 scale: High is 70 or more, Medium 40 to 69, Low under 40. Hover the meter to see the exact score. Low-confidence sources are highlighted, so read those sentences against the excerpt before you approve.

Why doesn't the Launch campaign button appear on my approval batch?

Launch campaign appears at the top of a batch only when nothing in it is pending, at least one email in it is approved, and your role can send (owner, admin or approver). LinkedIn-only batches do not show it.

  1. Decide every pending draft in the batch.
  2. If the campaign is already running, you do not need to launch: approved emails join the sending queue on their own.
  3. You can also launch from the campaign's Overview.

If launching shows Campaign could not launch., check that a sending mailbox is connected.

Why does an approval batch say it could not be found or loaded?

This approval batch could not be found. means the batch no longer exists or belongs to another workspace, for example from an old link. This approval batch could not be loaded. means the page failed to load it. Sign in and select a workspace to review this batch. means your session ended.

  1. Click Review in the sidebar and open the batch from the list.
  2. Refresh the page if it failed to load.
  3. Sign in again and pick the right workspace if asked.

Why didn't my email send?

An email only sends once it is drafted, approved, its campaign is running, its turn has come inside the sending window, and the final checks pass. Open the lead from the campaign's Leads tab and look at the step under Sequence; its badge and the checks below tell you which cause applies.

  1. Not approved yet. The step's badge reads Review and Progress reads Awaiting approval. Approve it in Review. If there is no step at all ("No emails drafted for this lead yet"), see Why do some of my leads have no drafts?.
  2. Campaign not launched or paused. The campaign's status chip reads In review, Paused or Paused — budget reached, and Home says "... is paused — nothing is going out." or "... is paused — its daily budget is spent." Click Launch or Resume. If a "Deliverability paused a campaign" notification came first, see Why did the deliverability safeguard pause my campaign?.
  3. Not its turn yet, or outside the sending window. Progress shows "next: step 2 ~in 3 d", and Why hasn't this sent? starts with Waiting: and highlights Sending hours. Emails go out only between the sequence's Start and End times on the ticked days (Monday to Friday, 09:00 to 17:00 UTC by default). Wait, or change the window. See Why is my email waiting when the campaign is active?.
  4. The mailbox's daily cap is reached. Home says "Daily outreach cap reached for ... — N of M used today. New sequence emails wait until tomorrow, or raise the cap. Replies still send." Wait until tomorrow (UTC) or raise the Daily cap in Settings, Email deliverability.
  5. The mailbox is disconnected or needs reconnecting. The mailbox shows Needs reconnecting in Settings, Email deliverability; the Failed tab says "The email service refused this send: sending credentials were rejected."; launching says "A sending mailbox is required before this campaign can launch." Reconnect the mailbox; waiting emails are picked up again. See What happens to approved emails when my mailbox stops working?.
  6. No From name. Home says "Sending is off: your sender name, company, and postal address aren't set." Set your From name in Settings, Email deliverability, Sending identity.
  7. The person opted out, unsubscribed or cannot be emailed. The step changes from approved to blocked. This happens when the person unsubscribed, replied "NO" or "stop", is on your do-not-contact list, or their address is not verified as valid. Nothing is sent to them, on purpose. See Why did my approved email change to blocked?.
  8. The person is outside your markets. Also shown as blocked; Why hasn't this sent? would name Market rules: "Your market settings don't allow emailing this person's country. Review Settings → Policies." Activate the market, or finish your company's European details, in Settings, Policies. For someone added from your LinkedIn network whose country is still being detected, the email waits instead and goes out once the country is known.
  9. The person replied, booked a meeting or is snoozed. Progress reads "Sequence stopped - prospect replied" (or a meeting), or Snoozed until a date. See Why did the sequence stop for a lead?.
  10. The mail service refused it. The step reads send failed and the email is on the campaign's Failed tab. See Why did my email fail to send?.
  11. Your free trial ended. The banner reads "Your free trial has ended. Subscribe to keep sourcing, sending, and connecting LinkedIn." Sending stops for the whole workspace until you subscribe in Settings, Billing. During the trial itself there is no separate sending limit (one mailbox, no LinkedIn account).

When the step reads approved and is due, click Why hasn't this sent? under it: it highlights the first check that is not passing.

Why do some of my leads have no drafts?

Rainmaker only drafts leads it can write something true about. Leads are skipped, not failed, when:

  1. The fit score is under 60. Rainmaker does not research or draft those leads. The threshold of 60 is the same for every campaign and cannot be changed. Three exceptions are drafted whatever their score: leads found at a company you added to the campaign as a target company, leads you added by hand, and leads imported from a CSV with Skip fitness scoring ticked (shown as Unscored). A lead whose fit shows a dash has not been scored yet and waits until it is.
  2. No verified source was found. Rainmaker searches twice; if it finds nothing it can cite, it writes nothing. The lead stays Not started.
  3. The lead should start on LinkedIn. It gets a LinkedIn connection note instead of emails (see the next question).
  4. The person is snoozed, has an active meeting, or already signed up (in a campaign aimed at account sign-ups).
  5. Every draft was blocked. The lead shows Blocked. Click Draft sequence on the campaign's Leads tab to try again.

Drafting also works through a few leads at a time, so on a large campaign the progress bar ("Drafting emails — 4 of 20 leads drafted") may still be moving.

Why weren't LinkedIn notes drafted for some of my leads?

LinkedIn sequences are drafted only for leads that should start on LinkedIn and have a usable LinkedIn profile, and only up to 25 new leads per workspace per day.

  1. Check the lead's LinkedIn column on the Leads tab. Profile missing or Profile invalid means there is no public profile link (it must look like linkedin.com/in/name). Add one.
  2. Daily cap reached means today's LinkedIn drafting limit is used up. The rest are drafted by a later run, from the next day (UTC).
  3. Leads that start on email get emails, not a LinkedIn note. You can switch a lead's Method to LinkedIn first in its details, then draft.
  4. The same fit-score and source rules as email apply.

Why did my approved email change to blocked?

Just before sending, Rainmaker checks the person again. If a check fails, the email is stopped and marked blocked, even though you approved it. It is never sent and not retried.

  1. The email address is not verified as valid. Only valid addresses are sent to. An address that turned out invalid, catch-all or unconfirmable is blocked. Find a better address for the person.
  2. The person opted out. They unsubscribed, replied "NO" or "stop", or are on your do-not-contact list.
  3. The person's country is not one of your active markets, or (for Europe) your company's details and data-source disclosure are not set up in Settings, Policies. A privacy notice address is not required. For people added from your LinkedIn network, someone marked Outside campaign markets is never emailed.

In Review the card may show Blocked with "An unsourced factual sentence must be removed or grounded before this message can send." even though the real cause is one of the reasons above. If a workspace owner sees Misclassified unsubscribe in the lead's Why hasn't this sent? panel, the opt-out may have been recorded by mistake; read the person's reply before removing it.

Why did my email fail to send?

The mailbox service refused it, so its status is send failed. Rainmaker retries it on its own: first after 5 minutes, then waiting longer after each failure, up to a day.

  1. Open the campaign's Inbox and the Failed tab (or click "N failed" on the campaign Overview).
  2. Read the Why column. For example "The email service refused this send: sending credentials were rejected." means the mailbox connection needs attention; "The email service is rate-limiting sends right now — retrying will pick it back up." needs nothing from you.
  3. Fix the cause, for example reconnect the mailbox in Settings, Email deliverability.
  4. Click Retry. You see "Queued for retry — it will send on the next pass, subject to the usual caps and send window."

Only owners, admins and approvers see Retry. "The send failed, but no reason was recorded." means no reason came back; retry, and contact support if it keeps failing.

Why is my email waiting when the campaign is active?

An active campaign still only sends inside its sending window and on each step's schedule, and each mailbox only sends up to its daily cap.

  1. Check the Sequence on the campaign's Overview: the Timezone, Start, End and ticked days. Outside that window, emails wait for the next open slot.
  2. Check the step's delay. A follow-up waits its delay after approval and for the person's previous step to go out first.
  3. Check the mailbox's Daily cap in Settings, Email deliverability. Over the cap, emails wait until the next day (UTC).
  4. If the address needs re-checking (its verification is older than 30 days), the email waits a short time while Rainmaker verifies it.
  5. The status strip shows "Next sending run ~in 2 h"; hover it for the exact time.

Why won't my sequence save?

The sequence has a rule it breaks, or a step you removed still has emails in it.

  1. Check the submitted values and try again. means the timing is invalid: the End time is before the Start time, no day is ticked, a step's delay is not larger than the step before it, or a delay is over 90 days.
  2. Sequence could not be saved. after removing a step means some emails at that step are still drafted, waiting or approved. Reject them or let them send, then remove the step.
  3. For the LinkedIn sequence, "Each follow-up must be more days after acceptance than the one before it." means two follow-ups are out of order. LinkedIn sequence could not be saved. is the general error.
  4. "Your role is not allowed to perform this action." means your role cannot edit the sequence (viewers cannot).

When it works you see Sequence saved and pending sends rescheduled. or LinkedIn sequence saved.

Does saving the sequence change emails that are already scheduled?

Yes, for approved emails that have not gone out yet. Saving reschedules each of them from the moment you save: each becomes due its step's new delay after the save, inside the new sending window. Sent emails are not affected, and drafts still waiting for approval are timed when they are approved. Saving never rewrites what an email says.

Why did two emails reach the same person close together?

A follow-up is due its step's delay after the email was approved, not after the previous email was sent. If the campaign was launched, resumed or unblocked long after approval, a follow-up can already be overdue and go out shortly after the earlier step.

  1. Before launching a campaign whose drafts were approved a while ago, click Save sequence on the Overview. That reschedules approved emails from the moment you save.
  2. Keep the campaign running rather than pausing it for long periods.

A step is never sent before the person's previous step, and never in the same sending run.

Why does my follow-up email have a "Re:" subject?

So it lands in the same email thread as the first email. Every follow-up to a person is sent as "Re:" plus the subject of the first email you sent them, from the same mailbox, replacing the follow-up's own drafted subject. Mail apps then show the whole sequence as one conversation.

Why did the sequence stop for a lead?

With Stop on reply and Stop on meeting on (the default), a person's remaining messages are cancelled as soon as they reply or a meeting is booked. The lead shows "Sequence stopped - prospect replied", "Sequence stopped - meeting booked" or "Sequence stopped - meeting cancelled", and the cancelled messages show rejected.

  1. A reply also pauses the same person's pending messages in your other campaigns, matched by email address.
  2. Automatic out-of-office replies do not stop the sequence; the person is snoozed (Snoozed until a date) and the sequence resumes after.
  3. A cancelled meeting keeps outreach paused. Open the lead and click Resume outreach to continue.
  4. In a campaign aimed at account sign-ups, a person who signs up is always stopped.

To keep sending after a reply, untick Stop on reply in the campaign's Sequence and save. This does not bring back messages that were already cancelled.

Why did the deliverability safeguard pause my campaign?

Rainmaker pauses a campaign when too many of its emails bounce or are marked as spam, to protect your sender reputation. Once at least 20 emails have gone out, more than 3% bounces or more than 0.1% spam complaints pause it. You get the notification "Deliverability paused a campaign" with the rate, and Home says the campaign "is paused to protect your sending reputation". If the whole workspace's rate is unhealthy, all its active campaigns pause at once. This safeguard reads the bounce and spam-complaint reports that Rainmaker's own sending service receives. Emails sent from your own connected mailbox don't produce these reports, so for those the safeguard does not pause anything: watch your mailbox for bounce messages instead.

  1. Look at the campaign's leads for bad or old addresses.
  2. Check your mailbox in Settings, Email deliverability.
  3. When the cause is fixed, click Resume on the campaign.

What happens to approved emails when my mailbox stops working?

They wait. If the mailbox needs reconnecting, emails cannot be handed over, so they wait or show send failed and are retried. Nothing is sent from another teammate's mailbox instead.

  1. Open Settings, Email deliverability and reconnect the mailbox.
  2. Reconnecting picks the waiting emails back up automatically on the next run.
  3. If the mailbox was removed rather than reconnected, campaigns that were sending from it are paused. Pick a new mailbox on the campaign's Settings tab, Sender card, and click Resume.

Why didn't my LinkedIn connection request or follow-up send?

Approved LinkedIn messages send automatically only when every condition is met. Otherwise they wait, and nothing is lost.

  1. Automation is off. The campaign's Leads tab says LinkedIn automation is off for this workspace. Turn it on in Settings, LinkedIn connection, or send the messages yourself and mark them sent.
  2. No LinkedIn account can send. Connect an account, or turn its automation back on (it shows Automation paused). LinkedIn accounts need a paid plan.
  3. The campaign's chosen account is paused or needs reconnecting. The Leads tab says so; reconnect it or pick another account under Sender settings. Messages are never sent from another teammate's account.
  4. The campaign is not running or the sending window is closed. LinkedIn follows the same window as email.
  5. A follow-up is waiting for acceptance. Follow-ups only go after the person accepts your connection request, plus that follow-up's days after acceptance.
  6. The daily limit is reached (25 per account by default, including messages you report by hand). They go the next day (UTC).
  7. The person replied or booked a meeting. The sequence stopped.

Why aren't my LinkedIn follow-ups sending after the connection request?

Follow-ups are only sent after the person accepts the connection request, and each one waits its Days after acceptance. If they have not accepted, nothing more is sent.

  1. Check on LinkedIn whether the person accepted.
  2. If you sent the request yourself, Rainmaker does not know it was accepted until you press Mark accepted, then Confirm accepted, on the request in Review (or on the LinkedIn tab).
  3. Check the campaign's LinkedIn sequence for the follow-up delays.

What does "Send unconfirmed" mean on a LinkedIn message?

The message was handed to LinkedIn, but Rainmaker never received a result, so it does not know whether it arrived. It shows "Dispatch outcome unknown — this send may or may not have reached LinkedIn." and the Leads tab shows Some LinkedIn sends were never confirmed.

Rainmaker never retries these on its own, because a retry could send the same person a second invitation.

  1. Click Show them on the Leads tab to list the people.
  2. Open each conversation on LinkedIn and check whether the message is there.
  3. If it is not, send it yourself on LinkedIn.

What does "Send failed" mean on a LinkedIn message?

LinkedIn refused the message. The reason is shown next to the status on the lead. Rainmaker tries again later while a connected account can send.

  1. Read the reason under Send failed.
  2. If LinkedIn could not find the person or the conversation, the message is marked Blocked instead and is not retried; check the person's profile link.
  3. If several sends in a row fail from one account, Rainmaker pauses automatic sending from that account and you get "A LinkedIn account stopped working". Open Settings, LinkedIn connection, fix what the error points at, then use Refresh status or reconnect.

How many emails and LinkedIn messages can Rainmaker send per day?

  • Email: each connected mailbox sends up to its Daily cap, 50 by default, adjustable from 1 to 500 in Settings, Email deliverability. The cap counts across all campaigns using that mailbox. Replies you send from the Inbox do not count.
  • Budget: a campaign with a Daily send budget stops at that amount, counting $0.05 per email, and shows Paused — budget reached.
  • LinkedIn: each connected account sends up to 25 messages a day by default, including messages you report as sent by hand. Its Daily cap override is in Settings, LinkedIn connection.
  • LinkedIn drafting: up to 25 new LinkedIn leads per workspace per day.

All daily counts reset at midnight UTC. There is no separate sending limit during the free trial, which allows one mailbox and no LinkedIn account.

What does Rainmaker add to the bottom of every email?

A short signature and one P.S. line. After a separator line come your name, your role and company, and your website (lines you haven't set are left out). Every email, cold or reply, in every market, then ends with "P.S. If this isn’t relevant, simply reply “NO” and I won’t follow up." There is no privacy notice link, and citation numbers are never included.

  1. Preview it on any draft in Review under Appended when this sends: signature & compliance footer.
  2. Change your name, role, company and website in Settings, Email deliverability, Sending identity.
  3. The P.S. line is locked: you can't edit or remove it.

How can a recipient unsubscribe from my emails?

Every email carries a one-click unsubscribe header, so Gmail, Outlook and other mail apps show their own Unsubscribe button. Clicking it adds the person to the global do-not-contact list. Replying "NO", as the P.S. line at the end of every email invites, adds them to your workspace's do-not-contact list, and a reply that just says "stop" counts as an unsubscribe. Rainmaker checks that list right before every send, so they get nothing more, even from emails already approved.

What does "Why hasn't this sent?" show on a lead?

It is a step-by-step check of an approved or failed email whose time has come. Open the lead, find the step under Sequence, and click Why hasn't this sent?. Rainmaker runs every check it makes before sending and highlights the first one that is not passing.

  1. A headline starting Waiting: means nothing is wrong; it is just not time yet (for example outside the Sending hours, the address is being checked, the person is snoozed, or their country is still being detected).
  2. A headline starting Held back: says in plain words what must change, for example "Held back: The campaign isn't sending (it may be paused or not launched yet). Launch or resume it on its Overview."
  3. Each check has a short label, such as Campaign status, Earlier emails, Address check, Opt-outs, Market rules, Daily budget or Mailbox daily limit, and one sentence saying whether it passes.
  4. "Every check passes — this email goes out on the next send run." means nothing is holding it back.

The link only appears for emails, and only once the step is due.

Why does a lead's email draft say it will not send?

"This lead has no usable email address, so this draft will not send. LinkedIn is the live channel." means the person's email address is missing or failed verification, or the person is set to LinkedIn only. The email drafts are shown faded and will never go out. Reach the person on LinkedIn, or add a valid email address.

Does Rainmaker ever reply to prospects automatically?

No. Rainmaker drafts answers, but a reply only goes out when someone in your workspace clicks Send reply (email) or Send on LinkedIn. This is true on Autopilot campaigns too. Booking and cancelling meetings also wait for your click on Book it or Cancel it.

What Rainmaker does on its own is bookkeeping: it labels each reply, stops the person's sequence, pauses a lead who is out of office, and stops emailing anyone who unsubscribed or said no.

What does the number next to Inbox & Meetings mean?

It is the number of conversations waiting on you, the same as the count on the Needs reply tab. A conversation counts when it has an email draft you have not sent or dismissed, an email Rainmaker could not label with confidence, or a LinkedIn message you have not answered.

  1. Click Inbox & Meetings in the sidebar.
  2. Work through the Needs reply tab. Each conversation you send or dismiss leaves the count.

Why wasn't a draft written for this reply?

Rainmaker deliberately skips drafts for some replies. The bottom of the conversation says which reason applies:

  • No reply — this address unsubscribed and is suppressed. The prospect asked to be removed; Rainmaker will not email them again.
  • No reply needed — auto-response. It was an out-of-office message. The lead is paused until they are back, then the sequence continues.
  • No reply drafted — replying to a decline hurts more than it helps. The prospect said no. Rainmaker stops emailing that address from your workspace.
  • Read this one — the classifier wasn't sure. Rainmaker could not tell what the prospect meant (see the next question).
  • No reply drafted for this message. No draft for any other reason, for example a calendar response such as "Accepted: Intro call", which only updates the meeting.

If you still want to answer, write to the prospect from your own mailbox. Redraft does not help here: it answers This message does not need a reply, so there is nothing to redraft.

What does "Read this one — the classifier wasn't sure" mean?

Rainmaker could not tell with confidence what the prospect meant, so it wrote no draft and changed nothing: no pause, no suppression. Its reasoning appears under the message. The conversation stays in Needs reply until you deal with it.

  1. Read the prospect's message.
  2. Answer them from your own mailbox if they need an answer.
  3. If they asked to stop, make sure they are not contacted again (see Privacy and compliance).

Why is my reply draft blocked?

A draft is Blocked when it states something Rainmaker could not back up with a source, or names a meeting time or link it should not. The message under the draft names the reason, for example "This draft is blocked: ... Edit it before it can be sent; you can dismiss it as-is." The reasons are written in plain words, for example "sentence 2 cites a source that doesn't exist", "sentence 1 states a fact without a source", "sentence 3 says more than its source supports", "sentence 2 contains a link — Rainmaker adds your booking link itself, so links can't be typed into the text", "the draft proposes a meeting time when your calendar is busy", "the time in the draft doesn't match the time the person accepted" or "sentence 2 failed a safety check". When no specific reason was recorded it reads This draft is blocked — its content failed a safety check. Edit it before it can be sent; you can dismiss it as-is. Send reply stays disabled until you change the text.

  1. Read the reason under the draft.
  2. Change or remove the sentence it points at. Text you write yourself is your own and is allowed.
  3. Click Send reply. If a flagged sentence is still there word for word, you see "Still flagged - change or remove:" followed by that sentence.
  4. Or click Redraft for a fresh version, or Dismiss to drop it.

Why can't I send a reply that says needs your answer?

The draft contains a [needs your answer: ...] marker: something only you can answer, such as a question about your product Rainmaker has no answer for, or a meeting time it could not check on your calendar. Sending it would show the marker to the prospect, so Rainmaker stops you with Answer the [needs your answer] gap before sending.

  1. Replace the whole marker, brackets included, with your answer.
  2. Optionally tick Save this answer to your Answers library so future drafts can use it.
  3. Click Send reply.

Why didn't my email reply to a prospect send?

Look at the message under the conversation; it names the cause.

  • Send paused: Connected mailbox is not active. The mailbox this conversation lives in was disconnected. Reconnect it, then click Retry send.
  • Send paused: with a calendar message: see the next question.
  • This address is suppressed — the reply was not sent. The person opted out before the reply went out. It cannot be sent.
  • Approved — sends when your mailbox is connected. It is approved and waiting. Check that your mailbox is connected.
  • Sending — another process picked this up; it will update shortly. It is already going out. Wait a moment and reload.
  • Sending is not configured followed by a reason, ending "Contact an admin." Sending is not set up for your workspace yet. Contact Rainmaker support.
  • The reply could not be sent — check your connection and try again. Your browser lost contact. Reload and check whether the reply shows as sent before trying again.
  • The reply may have sent, but the inbox could not refresh — reload to check. Reload the page first; do not send twice.
  • The reply could not be retried. Clicking Retry send failed. Reload and try again.
  • The inbox could not refresh — reload to check the reply state. The action may have worked; reload to see where the reply stands.

A reply that shows Send paused sits in the Handled tab, not Needs reply, so check there too.

Why does my reply say the calendar is temporarily unavailable?

Your reply names a meeting time, and Rainmaker re-checks your calendar just before sending so it never sends a time that is no longer free. This time your calendar could not be reached, so nothing was sent. Your approval is kept.

You may see The calendar is temporarily unavailable. The reply is still approved and ready to retry., or under the conversation Send paused: The calendar is temporarily unavailable, so this meeting time could not be verified. Retry the send when the calendar is available.

  1. Make sure your mailbox is still connected (its calendar comes with it).
  2. Click Retry send.
  3. If you see The calendar is still unavailable. The approved reply has not been sent., wait a few minutes and try again. Rainmaker also retries on its own for a while.

Why does my reply say the proposed time is no longer available?

The time in the draft is no longer free on your calendar, or it has passed. Rainmaker refuses to send a time it cannot stand behind. You see The proposed time is no longer available on your calendar — regenerate or edit the draft., sometimes followed by technical detail in brackets. If this happens while sending, the reply goes back to Needs reply.

  1. Open the conversation in Needs reply.
  2. Click Redraft for a draft with current free times, or edit the time yourself.
  3. Click Send reply.

Why does the Inbox say my role cannot approve replies?

Sending, redrafting and dismissing replies needs the Owner, Admin or Approver role. Editors and Viewers can read every conversation, but clicking these buttons shows Your role cannot approve replies., Your role cannot redraft replies. or The reply decision could not be saved.

  1. Ask an owner or admin to answer the reply, or to change your role.

Why didn't my LinkedIn reply send?

Rainmaker refuses a LinkedIn reply in plain words. The most common messages:

  • No connected LinkedIn account is available to send from. Send it in LinkedIn yourself, then mark it sent. The button switches to Mark sent.
  • LinkedIn automation is switched off for this workspace. Confirm you want to send this one message yourself, or send it in LinkedIn and mark it sent. Tick the box under the buttons, then send.
  • This LinkedIn account has reached its send limit for today. Try again tomorrow, or send it in LinkedIn yourself.
  • This person asked not to be contacted, so nothing was sent.
  • This draft makes a claim we could not source, so it cannot be sent from here. Edit it and send it in LinkedIn yourself, then click Mark sent.
  • A send for this reply is still in progress, and we could not confirm whether it reached LinkedIn. Check the conversation in LinkedIn before trying again, so the person does not get it twice.
  • LinkedIn refused the message. followed by LinkedIn's reason. "Could not resolve this lead's LinkedIn profile" means the profile link on file did not lead to a LinkedIn member; check the person's LinkedIn URL.
  • There is no LinkedIn conversation to reply into and this lead has no usable profile URL. Send it in LinkedIn yourself, then mark it sent.
  • There is nothing to send. The text box is empty.
  • That reply no longer exists. The message was removed; reload the person's details.
  • LinkedIn didn't accept this message. If it didn't arrive, send it in LinkedIn yourself, then mark it sent. Something went wrong without a reason Rainmaker can show. Check the conversation in LinkedIn, then try again or send it yourself.
  • A message starting "Reconnect" or "Turn ... back on" and naming an account: see the next question.
  1. Read the message, fix the cause, and click Send on LinkedIn again.
  2. Or click Copy, send it in LinkedIn yourself, and click Mark sent.

If Mark sent itself fails, you see why: Today's LinkedIn limit has been reached. Send the rest tomorrow., This reply was already handled. Refresh the page to see where it stands., Write your reply before marking it sent. or This reply didn't come from LinkedIn, so it can't be recorded here. Without a specific reason it reads This reply could not be marked sent. Reload the person's details to check.

Why can I only answer this LinkedIn lead from one account?

The person came from a teammate's own LinkedIn network, so they are connected to that one account only. Rainmaker never sends from a different account. When that account cannot send, you see, for example, "Reconnect “Account name” in Settings → LinkedIn to reply — this person is connected to that account only. Or send it from that account in LinkedIn yourself, then mark it sent." or "“Account name” has reached its LinkedIn send limit for today".

  1. In the sidebar, click Settings, then LinkedIn connection, and reconnect or turn the named account back on.
  2. Or have the account owner send the message in LinkedIn, then click Mark sent.

Why can't I get a suggested reply for a LinkedIn message?

Check which message you see in Reply assist:

  • You do not have permission to draft a reply. Viewers cannot use reply assist. Ask an owner or admin.
  • Your pasted reply was saved, but the draft could not be generated — try again. Click Get a suggested reply again; the message is not recorded twice.
  • Paste the message you received first. The box is empty. Paste the person's message, then try again.
  • The reply could not be drafted. Nothing was saved. Try again.
  • Clipboard access was blocked by the browser. after Copy: select the text and copy it by hand, or allow clipboard access for Rainmaker in your browser.
  • An empty box labelled Your reply — write it yourself with a note starting "We could not suggest a reply we can stand behind here". Rainmaker had nothing it could back up. Write your own reply; it is yours to send.
  • No Reply assist section at all: the person has no LinkedIn profile on file.

Why didn't Book it book the meeting?

Rainmaker checks your calendar again at the moment you click, and only books a time that is still free.

  • The meeting could not be booked — the time may no longer be free. Reload to check. Nothing was booked. Reply to the prospect with another time.
  • The calendar is temporarily unavailable. The approved booking remains in Review so you can retry it. Your approval is kept. In the sidebar, click Review: under Proposed actions the booking shows Stuck — retry or reject. Click Retry when your calendar is reachable, or Reject.
  • Already booked by an address, or Already decided by an address: a teammate decided first.
  • The meeting could not be booked — check your connection and try again. The click did not go through. This also appears if your role cannot book meetings (Editors and Viewers); ask an owner, admin or approver.

Why is there no Book it button on a meeting request?

Book it appears only when the prospect agreed to one specific time and that time is free on your connected calendar. It does not appear when:

  1. No mailbox is connected, so Rainmaker cannot read your calendar. The draft offers your booking link instead.
  2. The prospect named no time, a vague time, or a time already taken or past. The draft suggests other times.
  3. Your calendar could not be checked when the reply arrived.
  4. The draft is Blocked.

Once the prospect confirms a time in a later message, the card appears on that message.

Why does my meeting still say Awaiting reply?

Awaiting reply means the prospect has not accepted the calendar invitation yet. Rainmaker learns the RSVP from the invitation response that arrives in your connected mailbox, such as an email titled "Accepted: Intro call". Responses in English, French and German are recognised, and only while the meeting is still upcoming.

  1. Check that the mailbox the invitation came from is still connected.
  2. Ask the prospect to accept the invitation from their calendar.
  3. If the time passes without an acceptance, the status becomes Needs follow-up; click Draft follow-up.

Meetings that Rainmaker found on your calendar, rather than booked with Book it, also start at No reply yet and change only when an invitation response arrives.

Why wasn't my meeting counted as qualified or billed?

A meeting is Qualified only when the prospect accepted the invitation, the start time has passed, and it was neither cancelled nor disputed. Rainmaker never judges whether the call took place. Check the meeting on the Meetings page:

  • Awaiting reply, Tentative or Needs follow-up: the invitation was never accepted.
  • Confirmed: accepted, but the start time has not passed yet.
  • Declined, Cancelled or Disputed: these never qualify.
  • Qualified with Billing pending: it qualified and the fee is not recorded yet. If the same lead already has a billed meeting, a second one is not charged again.

How do I dispute a meeting fee?

Owners and admins can dispute a meeting on the Meetings page. A dispute is permanent: the meeting leaves outcome billing and any fee already recorded is reversed.

  1. Click Inbox & Meetings, then Meetings, and pick the month.
  2. Click the meeting.
  3. Under Dispute outcome, choose a Reason: Not qualified, Duplicate, Cancelled by prospect, Wrong attribution or Other. Add a Note if you like.
  4. Click Record dispute, then confirm.

You see Meeting disputed and its accrued fee reversed. or Meeting disputed. No accrued fee needed reversal. If you do not see Dispute outcome, your role is not Owner or Admin, or the meeting is already disputed, cancelled or declined.

Why did the meeting cancellation fail?

When you click Cancel event, Rainmaker asks your calendar to cancel it. If your calendar refuses or cannot be reached, the meeting shows Cancellation failed with the reason (or "Your calendar didn't accept the cancellation. Try again, or cancel the event in your calendar."), and the meeting stays booked.

  1. Make sure your mailbox is still connected.
  2. Click Cancel event again to retry.
  3. If you see This meeting has no calendar event to cancel., or Cancellation failed with "Meeting has no calendar event to cancel." or "Calendar mutation request not found.", Rainmaker has no calendar event it can cancel. Cancel it in your own calendar instead.
  4. The meeting could not be updated. means the click did not go through; reload and try again. Your role is not allowed to perform this action. means your role cannot change meetings (Viewers); ask a teammate.

When you used Cancel it on a cancellation card in the inbox instead, the failures read The meeting could not be cancelled — reload to check its current state. or The meeting could not be cancelled — check your connection and try again. Reload, then cancel from the Meetings page if it is still booked. Already cancelled by an address means a teammate got there first.

Why is outreach still paused after a meeting was cancelled?

On purpose. A cancelled meeting keeps the person's sequence paused so nobody gets a sales follow-up the moment a meeting falls through. You decide when to restart.

  1. Open the meeting on the Meetings page, or open the person's details.
  2. Click Resume outreach. You see Outreach resumed for this lead.

If you see "This meeting is still booked — outreach stays paused. Cancel or dismiss it first.", the meeting is not cancelled yet. Outreach could not be resumed. (in the person's details) or The meeting could not be updated. (on the Meetings page) means the click did not go through; reload and try again. Viewers cannot resume outreach; ask an owner, admin, approver or editor.

Why is a meeting I never booked in my Meetings list?

Rainmaker watches your connected calendar. When an event invites one of your leads, for example because they booked through your booking link, it adds the meeting to your ledger and pauses outreach to that person. Sometimes it matches an event that is not a sales meeting.

  1. Open the meeting on the Meetings page.
  2. Click Not a real meeting, then Dismiss.

The meeting stops counting, any fee is reversed and outreach resumes. Your calendar event is not touched. Meetings booked with Book it cannot be dismissed this way ("This meeting was booked through Rainmaker's own booking flow, so it can't be marked as not a real meeting."); use Cancel event. In the person's details the same action asks Mark meeting as not real?; if it fails you see The meeting could not be dismissed. Reload and try again.

Why can't I find a meeting on the Meetings page?

The Meetings page shows one month at a time, by the meeting's scheduled start, for this month and the five before it.

  1. Pick the month the meeting takes place in from the menu at the top.
  2. Set the status filter back to All statuses (or click Show all statuses).
  3. Click Refresh.

Why does a lead show Snoozed until a date after replying?

The prospect's reply paused them. Hover Snoozed until on the campaign's Leads tab to see why:

  • Out of office: they sent an automatic out-of-office reply. Rainmaker waits until the day after their stated return date, or 10 days if they gave none, then the sequence continues by itself.
  • Asked us to come back later: they said "not now" and you sent Rainmaker's acknowledgement. When the date passes, a re-engagement email appears in the inbox for you to approve.

If the prospect writes again before then (anything other than another out-of-office, "not now" or a no), the snooze is lifted and their message is handled like any reply.

Why did a reply land in Handled when I never answered it?

A conversation moves to Handled when nothing is waiting for you: the reply needed no answer (an out-of-office, an unsubscribe or a clear no), you dismissed the draft, or you approved the reply. An approved reply that hit a problem shows Send paused and also sits in Handled.

  1. Open the Handled or All tab.
  2. Open the conversation and read the note at the bottom.

Which mailbox does Rainmaker send my replies from?

The mailbox the conversation lives in: the one the prospect wrote to, otherwise the one that sent the email they answered, otherwise the campaign's sending mailbox. This keeps a prospect talking to the same person. If that mailbox has been disconnected, Rainmaker does not switch to a teammate's mailbox; the reply shows Send paused: Connected mailbox is not active. until you reconnect it.

The reply keeps the original subject, quotes the prospect's message, and copies the addresses in the campaign's CC on replies setting.

Why am I not getting emails when a prospect replies?

Reply and meeting alert emails can be switched off, or go to someone else.

  1. Ask an owner or admin to open Settings, then Other integrations, and find Email notifications.
  2. Check that Email me when a prospect replies or books a meeting is ticked.
  3. Check the Recipient address. Without one, alerts go to the workspace owner.
  4. Click Save email preferences.

You never get an alert for out-of-office replies, unsubscribes or calendar responses. Check your spam folder for "replied to you" emails.

What are the System-generated messages in my inbox?

They are drafts Rainmaker started on its own, waiting for your approval. Nothing was received from the prospect:

  • System-generated: our answer has been out with no response. A single follow-up after you answered a question, a hot lead or an objection.
  • System-generated: the lead's 'not now' snooze lapsed. A re-engagement email for someone who said "not now".
  • System-generated: the scheduled meeting time passed without an accepted RSVP. The no-show follow-up you asked for with Draft follow-up, titled No-show follow-up.

Review each one like any draft: Send reply, Redraft or Dismiss.

Why is the reply draft in a different language?

Rainmaker answers in the language the conversation is held in, not the campaign's language: the prospect's latest message that is long enough to tell, then your earlier messages, then English. If you redrafted this person's outreach in a fixed language on the Review page, that language wins.

  1. Edit the draft into the language you want before sending, or
  2. Click Redraft after the prospect writes a longer message.

Why didn't Draft follow-up create a follow-up?

Draft follow-up only works when the meeting time has passed without an accepted invitation and the meeting is not cancelled or disputed.

  • This meeting no longer qualifies for a follow-up. The prospect accepted, declined, or the meeting was cancelled or disputed in the meantime.
  • A follow-up draft already exists for this meeting — review it in the campaign inbox. Each meeting gets one follow-up. Find it in the inbox as No-show follow-up.
  • No Draft follow-up button: your role is not Owner, Admin or Approver.

Why did Redraft not write a new draft?

Redraft only works on an email reply whose draft is still waiting.

  • This message does not need a reply, so there is nothing to redraft. It is an unsubscribe, out-of-office, decline or calendar response.
  • This reply no longer has a pending draft - reload to see its current state. Someone already sent or dismissed it. The same message (with a dash) appears if you click Send reply or Dismiss on a draft a teammate already handled.
  • A new draft could not be written. Try again in a moment.

Why does the Inbox say it could not be loaded?

This inbox could not be loaded. means Rainmaker could not fetch your conversations; reload the page. Sign in and select a workspace to view this inbox. means your session has no workspace selected: sign in again and pick your workspace. On the Meetings page the same problem reads Meetings could not be loaded.

Why does it say "Sending is blocked until a From name is set"?

Your workspace has no From name, the name recipients see your email come from, so no email can be sent. A warning titled No sender name set appears on Email deliverability until you add one.

  1. In the sidebar, click Settings, then Email deliverability.
  2. Under Sending identity, type a real person's name in From name (1 to 80 characters) and click Save.
  3. Or fill in Full name under Email signature and click Save: when the From name is empty, it is set to that full name.

Only owners and admins can edit these fields.

Why can't I edit the From name or email signature?

Only owners and admins can change Sending identity and Email signature. Other roles see the fields greyed out and no Save button.

  1. Ask an owner or admin of your workspace to make the change, or to change your role.
  2. Your own mailbox can still be connected by you from the same page.

Why did saving my From name or signature fail?

The value did not pass the checks. You may see "That name could not be saved. Use 1–80 characters and no line breaks.", "That signature could not be saved. Check the website field and field lengths." or "Check the submitted values and try again."

  1. Keep the From name between 1 and 80 characters, on one line.
  2. Enter the website as a plain domain or full address, like acme.com or https://acme.com.
  3. Keep Full name and Role under 100 characters and Company under 150.

Why did my mailbox connection fail?

If you see Connection failed, the sign-in on the secure connection page did not complete, for example because you cancelled it or closed the tab. "Nothing was changed — your account has not been touched."

  1. Click Try again on the banner, or Connect mailbox and calendar.
  2. Sign in with the right Google or Microsoft account and accept every permission asked for. Rainmaker needs both mail and calendar access.
  3. If you see Connection not finished, your provider said yes but Rainmaker has not received the mailbox yet. Wait a moment and refresh the page; if it still does not appear, click Try again. This also happens when the mailbox is already connected to another Rainmaker workspace: disconnect it there first.
  4. If you see "Could not start the connection. Try again in a moment.", wait a minute and click the button again.

What does "Connected, but the mailbox isn't usable yet" mean?

The mailbox is connected, but your email provider reports that Rainmaker cannot use it, and nothing sends until it is fixed. The banner gives the reason, such as "your mailbox provider says the sign-in did not complete" or "the permissions Rainmaker needs were not granted".

  1. Click Reconnect on the banner.
  2. Sign in to the same mailbox again and accept every permission.
  3. Reconnect repairs the existing mailbox; it never adds a second one.

Why does my mailbox say Needs reconnecting or Stopped working?

The connection to your mailbox no longer works, usually after a password change or when access was revoked in your Google or Microsoft account. Campaigns that send from it are paused until you fix it.

  1. Go to Settings, then Email deliverability.
  2. In Mailboxes & Calendar, click Reconnect on that mailbox and sign in again.
  3. If you see "This mailbox cannot be reconnected — disconnect it and connect again instead.", click Disconnect, then Connect another mailbox (or Connect mailbox and calendar).
  4. If you see "That mailbox is no longer connected here. Refresh and connect it again.", refresh the page and connect it again.

A lead's send error may also say "The email service refused this send: sending credentials were rejected." That means the same thing: reconnect the mailbox.

Why does my calendar say Needs reconnect or May be affected?

The calendar uses the same connection as your mailbox. May be affected means the mailbox connection needs reconnecting, so the calendar may not work either. Needs reconnect means the mailbox was connected before calendar access was added and may not include it.

  1. For May be affected, click Reconnect on the mailbox.
  2. For Needs reconnect, click Disconnect, then connect the mailbox again to add calendar access.

Why can't I connect another mailbox?

Your workspace has reached its mailbox limit, or the mailbox is already connected somewhere else. You may see "This workspace has connected as many mailboxes as it is allowed." or "This mailbox is already connected in another workspace. Disconnect it there first."

  1. During the free trial a workspace can connect one mailbox. Subscribe to connect more.
  2. On a paid plan there is also a maximum per workspace. Disconnect a mailbox you no longer use, or contact support.
  3. A mailbox can only be connected to one Rainmaker workspace at a time. Disconnect it in the other workspace first.
  4. Viewers cannot connect mailboxes: the button is not shown.

How do I change how many emails my mailbox sends per day?

Each connected mailbox has a Daily cap, from 1 to 500 emails a day, 50 by default. Emails over the cap wait for the next day.

  1. Go to Settings, then Email deliverability.
  2. In Mailboxes & Calendar, type a new number in Daily cap under the mailbox.
  3. Click Save. You will see "Saved."
  4. If you see "Enter a number between 1 and 500." fix the number. If you see "Daily cap could not be saved.", try again.

When a mailbox reaches its cap, a lead's send explanation says the mailbox's daily cap was reached and that it retries on the next run. Nothing is lost.

You can change the cap of a mailbox you connected; owners and admins can change any.

Why can't I change a teammate's mailbox or LinkedIn account?

Each teammate manages the mailbox and LinkedIn account they connected. Owners and admins can manage all of them. Buttons you are not allowed to use are hidden, and if you reach one anyway you see "Your workspace role cannot perform this action. Ask an owner or admin for access."

  1. Ask the teammate who connected it, or an owner or admin.
  2. A mailbox connected before Rainmaker recorded who connected it can only be managed by an owner or admin.

What happens to my campaigns when I disconnect a mailbox?

Sending from that mailbox stops at once. Campaigns that were sending from it are paused, and campaigns that had chosen it but were not sending yet switch to the workspace default mailbox. A notice names each campaign.

  1. Open each paused campaign, go to its Settings tab and pick a new mailbox in the Sender card.
  2. Resume the campaign.

There is no confirmation step before a mailbox is disconnected.

What do the error messages on Email deliverability mean?

They mean a part of the page could not load or save. None of them change your mailbox.

  1. "Mailboxes could not be loaded." or "Deliverability details are unavailable": refresh the page.
  2. "Mailbox could not be disconnected.": try again in a moment.
  3. "Mailbox connection could not be finalized.": refresh the page; if your mailbox does not appear, connect it again.
  4. "That name could not be saved." or "That signature could not be saved." on their own: try again, then check the values.

Why does Email deliverability show a Domain verification checklist?

You see Domain verification with Domain verified, SPF, DKIM and DMARC (for example "0 of 4 complete") only when no mailbox of your own is connected. That checklist applies to Rainmaker's own sending service, not to your mailbox.

  1. Connect your own mailbox in Mailboxes & Calendar.
  2. The section then changes to How your mail is authenticated: your email provider authenticates your mail and there is no domain setup for you to do.
  3. If it says Mailbox not connected, your mailbox stopped working: click Reconnect.

Why is there no Delivered this week number on Email deliverability?

A connected mailbox does not report deliveries back to Rainmaker, so there is no delivered count to show. The page says "Delivery confirmations only come from our own sending service, so they are not available for a connected mailbox. Your sent counts above are still exact."

Sent today and Sent this week are exact. Replies arrive in your Inbox as usual.

How much do extra mailboxes and LinkedIn accounts cost?

Your plan includes one mailbox and one LinkedIn account. Each extra connected sending channel costs $5 a month, starting with your November 2026 bill. A channel counts for a month if it was connected on any day of that month.

  1. See how many channels you have in Settings, Email deliverability and LinkedIn connection.
  2. Disconnect channels you no longer use before a new month starts to avoid the fee for that month.

Why can't I add a LinkedIn account?

Usually because your workspace is on the free trial, or it already uses all its LinkedIn seats. On the free trial, LinkedIn is not available until you subscribe: adding an account in Settings, LinkedIn connection (or with Connect LinkedIn on the welcome screen) shows the notice LinkedIn is available on the paid plan: "Your free trial covers email outreach. Subscribe to connect your LinkedIn account and send from it." with a Go to Billing button.

  1. On the free trial, click Go to Billing (or open Settings, Billing), subscribe, then add the account.
  2. If you see a message such as "Your plan covers 10 LinkedIn accounts and you already have 10. Disconnect one you no longer use, or talk to us about adding more.", disconnect a seat you no longer need, or Remove a seat that never connected. Seats that are Not connected still count; Disconnected seats do not.
  3. "LinkedIn accounts are not available on this workspace." means LinkedIn seats are switched off for your workspace. Contact support.
  4. Viewers cannot add accounts.

Why did my LinkedIn account fail to connect?

LinkedIn refused the sign-in or asked for a check Rainmaker could not finish. The window shows the reason and a Try again button.

  1. "LinkedIn did not accept these credentials. Check the email and password, then try again.": re-enter them.
  2. "LinkedIn asked for a sign-in check we could not complete here. Open the LinkedIn app or your email, approve any new sign-in alert, then try again.": approve the alert, then try again.
  3. "The verification step timed out — LinkedIn allows five minutes to enter the code. Start the connection again.": click Try again and enter the code faster.
  4. "That verification code was not accepted. Ask LinkedIn for a new code, then try again.": request a new code.
  5. A message starting "LinkedIn asked for another verification step" and ending "Disconnect this account and connect it again.": do that.
  6. "LinkedIn automation is being rate limited right now." or "LinkedIn automation is temporarily unavailable.": wait a few minutes and try again.
  7. "Accept the risk notice above before connecting an account.": tick the risk checkbox.
  8. "The request could not be completed. Check your connection and try again.": check your internet connection.
  9. "LinkedIn's provider returned something Rainmaker did not understand. It has been reported — try again shortly.": try again later.
  10. "LinkedIn could not connect this account.", "LinkedIn connect failed.", "LinkedIn checkpoint failed.", "Something went wrong. Try again." or "LinkedIn automation could not complete this request" with an error number: click Try again; if it repeats, contact support with the account's reference code.
  11. "This account could not be found. Refresh the page and try again.", "This account is already connected.", "This account is not waiting for a verification code." or "This account is already disconnected.": the account changed in the meantime. Close the window and refresh the page.

What do I do when LinkedIn asks for a verification code or app approval?

Follow the screen Rainmaker shows. LinkedIn either sends a 6-digit code, pushes an approval to your phone, or asks you to finish a security check inside LinkedIn.

  1. Two-Factor Authentication Required: type the code in Verification code and click Submit code within five minutes.
  2. Approve in your LinkedIn app: tap "Yes, it's me" on your phone, then click I approved it. If you see "LinkedIn hasn't confirmed yet — approve the prompt, then try again.", wait a few seconds and click again.
  3. Finish the check in LinkedIn: sign in to LinkedIn, complete the check, then click I completed it.
  4. If you are asked for a code but got a phone prompt, click LinkedIn asked me to approve in the app instead.

Why does my LinkedIn account show Error?

Either LinkedIn ended the session, or several automated sends in a row failed, so Rainmaker paused sending from that account. The reason is written on the row, for example "LinkedIn ended this account's session. Automated LinkedIn sending from it is paused until you reconnect it."

  1. If the row says several LinkedIn sends in a row failed, fix what the last error on the row points at, then click Refresh status. If it shows Connected again, sending resumes on the next run.
  2. If LinkedIn ended the session, click Connect and sign in again.
  3. If you see "LinkedIn refused this account's session. Reconnect the account, then try again.", click Connect.
  4. If Refresh status shows "The account status could not be checked.", try again in a moment.

The notification bell also tells you: "A LinkedIn account (Alex) stopped working — automated LinkedIn sending from it is paused until you reconnect it."

Why isn't Rainmaker sending my approved LinkedIn messages?

An approved LinkedIn message only sends itself when the workspace switch is on, a seat is connected and enabled, the seat is under its daily cap, and the campaign is inside its send window. If any of these is missing, the message waits; it is not lost.

  1. In Settings, LinkedIn connection, check that the switch reads Automation on.
  2. Check that at least one account is Connected and shows Automated, not Automation paused.
  3. If the campaign is set to one LinkedIn account, that account must be connected and enabled. The campaign's Leads page says so when it is not.
  4. Check the account's Daily cap in Settings & Limits. Notes marked sent by hand count toward it.
  5. Meanwhile, you can send the note yourself from the LinkedIn queue and click Mark sent.

What happens when I turn LinkedIn automation off?

Nothing on LinkedIn sends by itself anymore, for any account. Approved messages stay approved and wait for you; nothing is deleted. Turning it off does not ask for confirmation, and you see "LinkedIn automation paused — outreach falls back to manual assist."

  1. Send waiting notes yourself from the LinkedIn queue, then click Mark sent.
  2. To pause only one account, use Settings & Limits on that account instead.
  3. Turning it back on shows Enable LinkedIn automation? with the number of waiting messages (or "How many are queued could not be checked just now."). Click Enable automation.

While messages wait, Home shows "N approved LinkedIn messages are waiting on “campaign” — LinkedIn sending is turned off." and the campaign's Leads page shows LinkedIn automation is off for this workspace. If saving the switch fails you see "The automation switch could not be updated."

What happens when I disconnect a LinkedIn account?

Outreach through that account stops immediately. Campaigns that sent only from it are paused, campaigns that had chosen it but were not sending yet go back to rotating across all connected accounts, and connections you imported from it into Contacts are deleted.

  1. Open each paused campaign named in the notice, go to its Settings tab and pick a new LinkedIn account in the Sender card.
  2. Resume the campaign.
  3. To use the account again later, click Connect on its row.

Why does the LinkedIn accounts page say Read-only?

You see Read-only, "Managing LinkedIn accounts requires the Campaign write permission.", because your role is Viewer. Viewers can look but not add accounts or change the switch.

Why can't I mark a LinkedIn note as sent?

Mark sent only appears for approved notes and only for owners, admins and approvers. If it shows an error instead of "LinkedIn note marked sent.", one of these applies:

  1. "Follow-up messages can only be marked sent after the person accepts your connection request. Mark the connection note accepted first." Click Mark accepted on the connection request, then Confirm accepted, first.
  2. "Today's LinkedIn limit has been reached. Send the rest tomorrow." Try again tomorrow.
  3. "This message isn't approved yet. Approve it in Review first, then mark it sent.", "This task changed while you were working on it. Refresh the page and try again." or "This LinkedIn task no longer exists. Refresh the page to see the current list." The note is no longer approved, or someone else changed it. Click Refresh.
  4. If you see "Clipboard access was blocked by the browser." when copying, allow clipboard access or select the text yourself.

Why don't I see the LinkedIn tab in Review?

The LinkedIn tab is hidden while automation is doing the job: the workspace switch is on, at least one account is connected and enabled, and nothing needs your hand. It comes back as soon as a send needs checking or a connection request waits for Mark accepted.

  1. Press Ctrl+K (Cmd+K on Mac) and search for "LinkedIn" to open the queue anyway.

Do I need to set up SPF, DKIM and DMARC for Rainmaker?

No, not in Rainmaker. Rainmaker sends from your own connected mailbox, so your email provider sends and authenticates the mail with your domain's existing records. Email deliverability then shows How your mail is authenticated: "There is no domain setup for you to complete here."

  1. If your domain has no SPF, DKIM or DMARC records yet, your email admin sets them up with your domain provider, as for any company email.
  2. The Domain verification checklist (Domain verified, SPF, DKIM, DMARC) only appears when no mailbox of your own is connected. Connecting one replaces it.

How do I set up email deliverability in Rainmaker?

Connect your own mailbox, set a From name and keep sending volumes sensible. There are no DNS steps inside Rainmaker.

  1. Go to Settings, then Email deliverability.
  2. Click Connect mailbox and calendar and sign in.
  3. Under Sending identity, set a From name (a real person) and fill in Email signature.
  4. Set a Daily cap per mailbox (1 to 500, 50 by default).
  5. Check Status: it should read Sending normally, with Sent today and Sent this week counts.

Every email also ends with a fixed opt-out line, and people who ask not to be contacted are not emailed again.

Why does my campaign say a sending mailbox is required before it can launch?

The campaign has no working mailbox to send from. Instead of Launch campaign it shows Sending setup, and launching or resuming says "A sending mailbox is required before this campaign can launch."

  1. Connect a mailbox, or reconnect the one that stopped working, in Settings, Email deliverability.
  2. Open the campaign's Settings tab. In the Sender card, check Send from: a mailbox marked "needs reconnecting" cannot send, and the card warns "This campaign's emails will not send until it is reconnected or you pick another mailbox."
  3. If saving says "That mailbox cannot send right now. Reconnect it in Settings → Deliverability, or pick another one.", pick a working mailbox or Workspace default.
  4. If the card says "No mailbox is connected yet.", connect one first.

Why are my campaign's LinkedIn messages waiting for one account?

The campaign is set to send LinkedIn messages from one account, or the people are only connected to one of your accounts, and that account is paused or needs reconnecting. Rainmaker never sends them from a teammate's account instead.

  1. On the campaign's Leads page, read the notice: This campaign's LinkedIn account is paused, This campaign's LinkedIn account needs reconnecting or LinkedIn messages to people from “Alex”'s network are waiting.
  2. Reconnect the account or turn its automation back on in Settings, LinkedIn connection.
  3. Or, in the campaign's Settings tab, pick another account in the Sender card. If saving says "That LinkedIn account cannot send right now. Reconnect or turn it back on in Settings → LinkedIn, or pick another one.", choose a connected account or All connected LinkedIn accounts (rotate).

What does "Some LinkedIn sends were never confirmed" mean?

Rainmaker handed these messages to LinkedIn but never got a result back, so it cannot tell whether they arrived. It will not retry them, because a retry could send the same person a second invitation. The leads show Send unconfirmed.

  1. On the campaign's Leads page, click Show them.
  2. For each one, open the conversation in LinkedIn and check whether it arrived.
  3. If it did, mark it sent. If it did not, send it yourself in LinkedIn and then mark it sent.

Why couldn't I send a LinkedIn reply from Rainmaker?

Rainmaker refused to send the reply and said why. Nothing was sent.

  1. "No connected LinkedIn account is available to send from. Send it in LinkedIn yourself, then mark it sent.": connect or reconnect an account.
  2. "This LinkedIn account has reached its send limit for today. Try again tomorrow, or send it in LinkedIn yourself.": the account's daily cap is used up.
  3. "LinkedIn automation is switched off for this workspace. Confirm you want to send this one message yourself, or send it in LinkedIn and mark it sent.": tick the box confirming you are sending this one reply yourself, then send. A related message asks you to turn automation on or send it in LinkedIn yourself.
  4. "This person is connected to one of your LinkedIn accounts only, and that account cannot send right now.": reconnect that account, or send from it in LinkedIn and mark it sent.
  5. "LinkedIn refused the message." with LinkedIn's reason: read the reason, then try again or send it yourself.

What do the error messages on the LinkedIn pages mean?

Part of a LinkedIn page could not load or save. Your accounts are not changed.

  1. "LinkedIn accounts could not be loaded.", "LinkedIn accounts are unavailable.", "LinkedIn automation status is unavailable." or "LinkedIn tasks could not be loaded.": refresh the page.
  2. "The account could not be disconnected.", "The account could not be removed." or "Settings could not be saved.": refresh the page and try again; the account may have changed in the meantime.
  3. "The LinkedIn note could not be marked sent.", "This acceptance could not be recorded." or "The LinkedIn result could not be recorded.": click Refresh on the queue and try again.

Which CRMs can I connect to Rainmaker?

You can connect HubSpot, Pipedrive and Salesforce. HubSpot gets the most: leads who reply are sent over with their full conversation and status history. Pipedrive and Salesforce get a task for each message Rainmaker sends.

  1. In the sidebar, click Settings, then Other integrations.
  2. Under CRM, click Connect HubSpot, Connect Pipedrive or Connect Salesforce and approve access.

Why can't I see Other integrations in Settings?

Other integrations is only for owners and admins. Approvers, editors and viewers do not see it, and opening it from a link shows "Your workspace role cannot perform this action. Ask an owner or admin for access."

  1. Ask an owner or admin to connect or change the CRM for you.
  2. Editors and approvers can still use Send to HubSpot on a lead once HubSpot is connected.

Why did my CRM connection fail?

The CRM's sign-in or permission screen did not finish, so you came back to Other integrations with a red message instead of "Connection authorized and ready."

  1. "Provider denied authorization": you cancelled or refused on the CRM's screen. Click the connect button again and approve.
  2. A message that the authorization state is invalid, expired or already used: the sign-in took longer than 10 minutes or the page was reloaded. Start again from the connect button.
  3. A message that the callback is missing its state or code, or that the token exchange returned no access token: start again from the connect button.
  4. "Provider did not return an account identifier." or another error: try again; if it repeats, check that your CRM user is allowed to install apps, then contact support.
  5. If the connect button opens a page of plain error text instead of the CRM's screen, go back to Other integrations and try again.

What does "Reconnect HubSpot to allow conversation sync" mean?

Your HubSpot connection is missing a permission that sending conversations needs, usually because HubSpot was connected before this feature existed. Settings shows HubSpot needs to be reconnected.

  1. Go to Settings, then Other integrations.
  2. Click Reconnect HubSpot in the notice (or Connect HubSpot) and approve every permission HubSpot shows.
  3. Press Send to HubSpot on a lead, or wait for the next reply, to fill in what was missed.

Why does Settings say "Last HubSpot sync failed"?

The last time Rainmaker sent data to HubSpot, HubSpot returned an error. The notice shows "HubSpot sync failed:" and the reason.

  1. Read the reason. If it is about permissions, or says the credential expired, was revoked, was not found, or that no active HubSpot credential exists, reconnect HubSpot with Connect HubSpot.
  2. The next reply or a manual Send to HubSpot tries again and adds only what is still missing.
  3. When a sync succeeds, the notice disappears and Last sync shows the new time.

Why isn't a lead showing up in HubSpot?

A lead is sent over in full when they reply, when you answer them or when a meeting is booked, and only while Automatically send leads who reply to HubSpot is on. A lead who has not replied only appears once Rainmaker has sent them a message, and only if they have an email address.

  1. In Other integrations, check that HubSpot is connected and the setting is ticked.
  2. Look for a Last HubSpot sync failed or HubSpot needs to be reconnected notice and fix it.
  3. To send any lead now, open the conversation in the Inbox or the lead's details and press Send to HubSpot.

Why don't I see the Send to HubSpot button?

The button only appears when HubSpot is connected to your workspace, and only for owners, admins, approvers and editors. Pipedrive and Salesforce have no such button.

  1. Ask an owner or admin to connect HubSpot in Settings, Other integrations.
  2. Look for it in the Inbox conversation header or in the lead's detail panel.

Why did Send to HubSpot fail?

The message under the button says why.

  1. "Reconnect HubSpot to allow conversation sync.": an owner or admin must reconnect HubSpot.
  2. "Connect HubSpot in Settings → Integrations first.": HubSpot is no longer connected. An owner or admin can connect it in Settings, Other integrations.
  3. "This lead could not be sent to HubSpot. Try again in a moment.": a temporary problem. Press the button again.
  4. Any other text is HubSpot's own reason for refusing the lead. Fix what it names in HubSpot, then press Send again.

Is it safe to press Send to HubSpot more than once?

Yes. Rainmaker remembers everything it already created in HubSpot and only adds what is missing, so nothing is duplicated. After a success the button reads Send again and shows View in HubSpot.

What does Rainmaker log in Pipedrive or Salesforce?

For each message Rainmaker sends, it finds or creates the person by email address and adds a task with the email's subject line. In Pipedrive that is a person and a task titled "[Rainmaker]"; in Salesforce a Lead and a Task. The full conversation and status history are sent to HubSpot only.

  1. Leads without an email address are skipped.
  2. Messages you send yourself and mark as sent are not logged.

Can I import contacts from Salesforce into a campaign?

No. Importing contacts into a campaign works from HubSpot and Pipedrive only. Salesforce receives Rainmaker's activity but cannot be imported from.

  1. Connect HubSpot or Pipedrive in Settings, Other integrations.
  2. Open the campaign's Leads page and use the CRM import there, or import a CSV exported from Salesforce.

What happens when I disconnect my CRM?

Logging and syncing to that CRM stop immediately. Everything already in your CRM stays there. Reconnecting requires approving access again.

  1. In Other integrations, click the bin icon on the CRM row.
  2. Confirm with Disconnect in the Disconnect integration? window.
  3. If you see "Connection could not be disconnected.", try again.

What does Setup required mean on Other integrations?

The status rows at the top of Other integrations (Contact sourcing, Web discovery, Company intelligence, Research and writing) show whether services Rainmaker runs for you are available. You cannot set them up yourself, and Setup required or Missing is not something you did wrong.

  1. If a feature you need is blocked, contact Rainmaker support and name the row.
  2. Meanwhile you can import leads from a CSV in any campaign.

Do I need a web search key?

No. It is optional. Without a key, Rainmaker uses its built-in web research to answer factual questions in replies. With a key from a web search service, it can use live web search first.

  1. To add one, paste it under Web search and click Save key.
  2. Click Test search to check it works.

Why does signup tracking say "Last signup event received: never"?

No signup from your product has reached Rainmaker yet. That is expected until one of the four setups is in place and someone signs up.

  1. Open the campaign, go to its Settings tab and find Signup tracking.
  2. Pick one tab (Website snippet, Server hook, Auth providers or No-code / forms) and finish its setup.
  3. Click Send test event to check Rainmaker's side. Then sign up on your own site to check yours.

Why can't I find the Email notifications settings?

They are on the Other integrations page, which only owners and admins can open. Go to Settings, then Other integrations, and scroll to Email notifications.

How does HubSpot sync work?

Once HubSpot is connected, every message Rainmaker sends is logged on the lead's HubSpot contact, and leads who reply are sent over in full: contact, company, the whole email and LinkedIn conversation, and their Rainmaker status history (added, contacted, replied, meeting booked, cancelled or held, opted out, signed up).

  1. An owner or admin connects HubSpot in Settings, Other integrations, under CRM.
  2. Automatically send leads who reply to HubSpot is on by default. Turn it off to stop reply-triggered syncs.
  3. Owners, admins, approvers and editors can press Send to HubSpot in an Inbox conversation or a lead's detail panel to send any lead now. Viewers do not see the button.
  4. If Settings shows "Reconnect HubSpot to allow conversation sync.", click Reconnect HubSpot and approve the permissions.
  5. If HubSpot let Rainmaker create custom properties, contacts also get Rainmaker status, Rainmaker campaign and Rainmaker fit score.

How do I connect Pipedrive?

An owner or admin connects it from Other integrations. Pipedrive then gets a person and a task for each message Rainmaker sends, and you can import Pipedrive contacts into a campaign.

  1. In the sidebar, click Settings, then Other integrations.
  2. Under CRM, click Connect Pipedrive.
  3. Sign in to Pipedrive and approve access. You come back to "Connection authorized and ready."

Can I connect Salesforce?

Yes. Under CRM on Other integrations, an owner or admin clicks Connect Salesforce and approves access. Salesforce then gets a Lead (found by email address) and a Task with the subject line for each message Rainmaker sends. It does not receive the full conversation, has no Send to HubSpot-style button, and cannot be imported from.

Does Rainmaker work with Zapier or other tools?

There is no Zapier or other automation-tool integration in Rainmaker today. What you can connect: a Google, Microsoft or IMAP mailbox with its calendar, LinkedIn accounts, and HubSpot, Pipedrive or Salesforce as your CRM. For campaigns that drive signups, the No-code / forms option in Signup tracking lets a form tool or automation service tell Rainmaker when someone signs up.

Why did my CRM import into a campaign fail?

The import could not reach your CRM, usually because it is not connected. You see "Contacts could not be imported from HubSpot. Confirm the integration is connected." (or Pipedrive).

  1. Ask an owner or admin to check Settings, Other integrations: the CRM must be listed as active.
  2. On the Leads page, set the country choice to US confirmed; Import CRM stays greyed out until you do.
  3. If you see "Contacts were imported from HubSpot, but the refreshed lead list could not be loaded.", the import worked: reload the page.
  4. Salesforce cannot be imported from; export a CSV from Salesforce instead.

Why did the web search test fail?

The Test search result says "Test failed" and why: the service rejected the key, its quota or rate limit is used up, it did not respond in time, it returned an error code or an unexpected answer, there was a network problem, or no key is set.

  1. Check the key in your web search service's account and paste it again.
  2. If the quota is used up, top it up with that service or remove the key; Rainmaker then uses its built-in web research.
  3. "Test failed — the request did not complete." means the test could not run. Try again in a moment.
  4. "Test failed — the search service did not accept the key or did not answer. Check the key and try again." is shown when the exact reason can't be displayed. Check the key, then test again.

Why is there a red banner on Home?

A red banner on Home means some of your outreach has stopped. Each banner names the problem, and its Fix button opens the page where you can fix it.

  1. Read the banner. Common ones are Set up sending (no working mailbox), Sending is off: your sender name, company, and postal address aren't set., "Campaign name" is paused — nothing is going out., "Campaign name" is paused — its daily budget is spent., "Campaign name" stopped after an error on its last run., "Campaign name" is paused to protect your sending reputation — too many messages bounced recently., Needs attention: domain verification incomplete and 3 approved LinkedIn messages are waiting on "Campaign name" — LinkedIn sending is turned off.
  2. Click Fix and follow the steps on that page.
  3. If the banner says the app's public URL or the key that signs unsubscribe links isn't set, you can't fix it yourself. Contact support from Help in the sidebar.

Why does Home say the daily outreach cap is reached?

Your mailbox has sent as many sequence emails today as its daily cap allows, so the rest wait until the next day. The banner reads, for example, Daily outreach cap reached for you@yourcompany.com — 50 of 50 used today. New sequence emails wait until tomorrow, or raise the cap. Replies still send.

  1. Do nothing if you're happy to wait: sending picks up again after midnight UTC.
  2. To send more today, click Fix and raise the mailbox's daily cap on Email deliverability. A higher cap can hurt your sending reputation, so raise it gradually.
  3. Replies you send from Inbox & Meetings are not affected by the cap.

A neutral notice starting Nearly at the daily outreach cap is only a heads-up: sending still works.

Why does Home say I'm in test mode?

Home shows Test mode (dry-run) — emails compose and log but nothing delivers. or Test mode (mock sender) — nothing is actually sent. when your workspace is set up for testing, so no real email goes out.

  1. If you're testing on purpose, there's nothing to do.
  2. If you expected real emails to go out, contact support from Help in the sidebar.

Why does Home show no numbers?

Home shows the numbers only once your workspace has at least one campaign. Before that, you see the getting-started checklist or the suggestion Start with your first buyer segment.

  1. Click New campaign (or Create campaign in the checklist) to create your first campaign.
  2. If you have campaigns but every tile shows zero, check the time range: Today only counts the current day in UTC. Switch to 7d, 30d or All.
  3. If you see Pulse temporarily unavailable, click Retry. Nothing is wrong with your campaigns.

How do I get the getting-started checklist back?

The checklist hides when you click its X (Dismiss checklist) or when all four steps are done. Dismissing is saved in your browser only.

  1. If you dismissed it, open Rainmaker in another browser, or clear this site's stored data in your browser, and the checklist returns until all steps are done.
  2. If all four steps are done, the checklist is gone for good. Home shows a suggested next step instead when there is one.

Why is my reply rate on Home over 100%?

The reply rate on Home divides the replies received in the period by the leads contacted in the same period. A reply can answer a message sent before the period started, so in a short period you can get more replies than leads contacted.

  1. Look at the counts under Replies ("12 replies · 8 leads contacted this period"): they matter more than the rate.
  2. Switch to 30d or All for a steadier rate.

If nobody was contacted in the period, the rate shows "—" instead of a number.

Why don't the reply rates on Home and Insights match?

They measure different things over different periods:

  1. Home divides replies in the chosen range (Today, 7d, 30d or All) by the leads contacted in that range.
  2. Economics on Insights divides replies in a calendar month by the leads contacted for the first time that month.
  3. What converts on Insights divides replies by messages sent, not by leads. A lead usually gets several messages, so this rate is lower.
  4. The Replies / sent column in Home's Daily breakdown divides one day's replies by that day's sends.

Days and months follow UTC in all of them.

Why does Cost / qualified meeting show a dash?

Cost / qualified meeting shows "-" when no qualified meeting was booked in the selected month, because there is nothing to divide the cost by. The same goes for Cost / meeting and Cost / lead in Campaign performance.

  1. Check Meetings and Qualified. A meeting only counts as qualified once the person accepted the invitation, it wasn't cancelled or disputed, and its start time has passed.
  2. Meetings booked for later in the month become qualified after they take place.
  3. Pick another month in the month selector to compare.

Why are Meetings and Qualified different on Insights?

Meetings counts every meeting booked in the month, including ones that were later cancelled. Qualified counts only meetings that the person accepted, that weren't cancelled or disputed, and that have already started.

  1. A meeting booked for next week shows under Meetings now and under Qualified once it has taken place.
  2. A meeting the person declined, or one that was cancelled, stays out of Qualified.

Home's Meetings booked tile leaves out cancelled meetings, so it can also differ from Meetings on Insights.

Why does What converts say "not enough data yet"?

A row in What converts shows rates only once it has 50 sends in the chosen window. Below that, one reply would swing the rate too much, so the row says how many more sends it needs, for example "not enough data yet — needs 38 more sends".

  1. Choose a longer window: 90d instead of 30d or 7d.
  2. Wait for more messages to go out.

For By reply intent, the 50 sends are counted across your whole workspace. A row with 50 or more sends and no replies shows a real 0%.

Why does Reply quality show a dash?

Involvement rate and Resolution rate show "—" until there are enough replies in the last 30 days to give a meaningful rate. The card says No replies yet in this window. or how many more it needs, for example Needs 3 more to show a rate.

  1. Wait for more replies to arrive, or for more reply drafts to be sent.
  2. If the card says Reply quality could not be loaded., reload the page.

Why does a section of Home or Insights say it is unavailable?

That one section could not load. The rest of the page still works, and nothing is wrong with your campaigns.

  1. Click Retry if the section has one: Pulse temporarily unavailable ("The numbers below could not be loaded. Nothing is wrong with your campaigns — try again in a moment."), Getting-started checklist unavailable, Economics temporarily unavailable and Breakdowns temporarily unavailable ("Your sign-in may be valid, but Rainmaker could not load ... Try again in a moment.") all do.
  2. For Reply quality could not be loaded., Learning data could not be loaded. or Signals could not be loaded., reload the page or click Refresh.
  3. If you see Select a workspace, click Select workspace and choose the workspace you were invited to.
  4. If it keeps happening, contact support from Help in the sidebar.

Why aren't there any learning proposals?

Rainmaker only proposes a change when it is clearly better and you have enough data. With a young workspace, it is normal to see No proposals yet.

  1. Open Evaluation history on Insights and read the Reason: two arms required means there isn't enough data yet; intervals overlap or no positive lift means no option is clearly better; cost guardrail means the better option costs too much more; pending proposal exists means one is already waiting; deliverability guardrail means too many bounces or spam complaints.
  2. If Safety guardrails says Blocked, improve your delivery results first.
  3. Rainmaker evaluates every Monday. Owners, Admins, Approvers and Editors can also click Evaluate policies at any time. No statistically useful policy change is ready yet. means nothing qualified this time.

What happens when I approve a learning policy?

The proposed split becomes the active policy and you see Policy approved and versioned. New decisions will use it. It replaces the previous policy of the same kind.

  1. It only affects campaigns where the matching switch is on in the campaign's settings: Allow approved learning adjustments, Allow approved channel adjustments or Learn source allocation.
  2. Even then, it can only move the split within that campaign's limits.
  3. To undo it, click Roll back policy on its row under Active policies. You see Previous policy version restored.

Why can't I approve, decline or roll back a learning policy?

Only Owners, Admins, Approvers and Editors see Evaluate policies, Approve policy, Decline policy and Roll back policy. Viewers can read Insights but not change anything.

  1. Ask an Owner or Admin to change your role, or to make the decision.
  2. Roll back policy only appears on version 2 or later, because version 1 has nothing to go back to.
  3. Approve policy and Decline policy only appear on proposals that are still pending.

Why did approving a learning proposal show an error?

A red message means the proposal or policy could not be changed.

  1. The proposal could not be reviewed. or The policy could not be rolled back.: the request failed. Click Refresh and try again.
  2. This proposal has expired. Run Evaluate policies to get a fresh one.: nobody decided within 14 days. The proposal is now marked expired. Wait for the next evaluation, or click Evaluate policies.
  3. Someone already reviewed this proposal. Refresh the page to see the decision.: a teammate decided first. Click Refresh to see the current status.
  4. This proposal no longer exists. Refresh the page., This policy is no longer active, so it can't be rolled back. or There is no earlier version of this policy to roll back to.: the list was out of date, or there is nothing to roll back to. Click Refresh and try again.

Where is the Signals page?

Signals isn't in the sidebar. Open it from the Companies page.

  1. Click Companies in the sidebar.
  2. Click the Signals tab at the top of the page.
  3. Or press Ctrl+K (Cmd+K on a Mac), type "Signals" and press Enter.

Why are there no signals?

Signals come from the companies of your leads and the companies on your Companies page. With few companies, or none, there is little to find. A scan also keeps only recent, confident events.

  1. Add leads or companies first. See Leads and companies.
  2. Click Scan now and watch the Latest scan box until it says Scan complete.
  3. Check back later: Rainmaker also scans once a day on its own.

Which signal types you get depends on what is available for your workspace, so you may not see every type.

Why does the signal scan say "Scan needs attention"?

Scan needs attention means the last scan failed. The reason is shown under it.

  1. Click Scan now to try again.
  2. If it says Waiting for worker for a long time, wait a few minutes and click Refresh.
  3. If the scan keeps failing, contact support from Help and include the reason shown.

Why didn't my signal produce a draft?

The row's Draft handoff column says skipped or failed and gives the reason.

  1. Source contacts for this company before drafting.: you have no lead at that company yet. Find people there, then click Retry signal draft.
  2. No approved persona yet — approve one to draft from signals.: approve the campaign's buyer profile, then retry.
  3. The matching lead is not attached to a campaign.: add the lead to a campaign, then retry.
  4. Signal is stale or below the confidence threshold.: the signal is too old or not confident enough. Wait for a newer one.
  5. The writer could not produce a grounded draft.: Rainmaker couldn't write an email the signal fully supports. Retry later, or write to the lead yourself.
  6. The source signal no longer exists.: nothing to do.
  7. failed, with an error: click Retry signal draft.

If the row says completed, the draft exists: click Review. A draft can be blocked in Review if a sentence isn't backed by a source.

Why can't I click Scan now or Draft from signal?

Only Owners, Admins, Approvers and Editors can scan or draft from a signal. Viewers can read the page but don't see these buttons.

  1. While a scan is running, the button reads Scanning and can't be clicked. Wait for Scan complete.
  2. While a draft for a signal is queued or running, its button is greyed out.
  3. If you need these actions, ask an Owner or Admin to change your role.

Why don't I see Ask in the sidebar?

Ask is an experimental feature that isn't turned on for every workspace. If Ask isn't in your sidebar under Insights, it isn't available to you yet, and there is no setting to turn it on yourself.

  1. Use Home and Insights for the same numbers Ask would look up.
  2. To ask about getting Ask, contact support from Help in the sidebar.

Can Ask change my campaigns?

No. Ask only reads your workspace. If you ask it to rename or pause a campaign, change its sourcing direction or change its daily budget, it files a proposal and nothing happens yet.

  1. Open Review in the sidebar and find Proposed actions.
  2. An Owner, Admin or Approver approves or rejects the proposal there.
  3. The notifications bell tells you when an approved action is done, or if it failed.

Why does Ask say I've asked a lot recently?

You've asked a lot recently — give it a minute. means you sent many questions in a short time. Each person has a limit on how many questions Ask answers in a few minutes.

  1. Wait a few minutes.
  2. Ask again. Your thread is still saved in the list on the left.

If you see Ask is unavailable right now. Try again in a moment., Ask couldn't answer this time: try again shortly.

Why can't Ask answer my question about usage or replies?

What Ask can look up depends on your role. Questions about usage and about the content of replies need the Owner or Admin role. Viewers can open Ask, but it can't look up workspace data for them.

  1. If Ask says it can't access something, check your role in Settings, Account.
  2. Ask an Owner or Admin for the answer, or to change your role.

Why does Top titles in a campaign's Audience box say No data yet?

No data yet under Top titles means none of the campaign's leads has a job title yet. The other groups always show something: leads without a known country, fit score or company size are counted as "unknown" or "unscored" instead.

  1. Open the lead list and check whether your leads have titles.
  2. Titles come from the information found for each lead, or from what you entered when you added or imported the lead. Some leads simply have none.

How much does Rainmaker cost?

Rainmaker costs $79 a month, which includes 500 contacted leads each month. Each contacted lead above 500 is $0.05, and each qualified meeting is $25, capped at 20% of your subscription subtotal (the $79 plus any lead overage).

From the November 2026 billing period, 1 mailbox and 1 LinkedIn account are included and each extra connected sending channel is $5 a month. Prices are before tax, and every new workspace starts with a free 14-day trial with no card.

What counts as a contacted lead on my bill?

A lead counts once, in the month Rainmaker first successfully hands off a message to that lead for sending, by email or on LinkedIn (a connection request counts). Follow-ups and retries never count again.

  1. Leads that were sourced but never sent anything do not count.
  2. A lead contacted last month is not counted again this month.
  3. The same person in two campaigns is two leads, so a first message in each counts twice.
  4. To see this month's count, open Settings, then Billing, and look at the Contacted leads tile under This month.

Why was I charged for a meeting?

You are charged for a meeting when the prospect accepted the calendar invitation, the scheduled start time has passed, and the meeting was neither cancelled nor disputed. Rainmaker charges at most one meeting fee per lead, and all meeting fees in a month are capped at 20% of the subscription subtotal.

  1. On the Billing page, click Meeting ledger to see each meeting and its fee: Billed $25, Billing pending, Reversed or —.
  2. The ledger shows $25 per billed meeting, but your invoice applies the cap once for the month, so the amount you pay can be lower.
  3. If the meeting should not count, an Owner or Admin can record a dispute on it.

Why is my Rainmaker bill higher than I expected?

Usually because more than 500 leads got their first message this month, because qualified meetings were billed, or, from November 2026, because extra mailboxes or LinkedIn accounts were connected.

  1. Open Settings, then Billing, and click the Invoice breakdown row to open it: Lead overage, Qualified meeting fee and Extra sending channels each have their own line.
  2. Check Contacted leads. Every lead above 500 adds $0.05.
  3. Click Meeting ledger to see which meetings were billed.
  4. Count your connected mailboxes and LinkedIn accounts, including your teammates'. Each one beyond the first of each type adds $5 for any month it was connected, even for one day.
  5. Tax is added on top where it applies.

Why is my Rainmaker bill lower than I expected?

Most often because of the 20% cap on meeting fees. With no lead overage the cap is $15.80, so even several meetings in a month cost $15.80 in total.

  1. On the Billing page, compare the Qualified meetings tile (for example "2 × $25") with the fee "after the cap" shown under it.
  2. Check for cancelled or disputed meetings in the Meeting ledger. Their fees are Reversed.
  3. Check for a promotion code or a referral credit in Manage billing.
  4. Remember that meeting fees count in the month the meeting was scheduled for, not when it was booked.

When does my free trial start and end?

Your free trial lasts 14 days and starts the moment your workspace is created, not when you first send. You don't need a card, and signing in again does not restart it.

  1. The banner at the top of the app shows the days left.
  2. The workspace's notification recipient gets an email 3 days before and 1 day before the trial ends.
  3. To keep going without a pause, click Subscribe → in the banner, or open Settings, then Billing, and click Subscribe — $79/month.

What are the free plan limits during my trial?

Until you subscribe, your workspace can source 50 leads in total, connect one mailbox and no LinkedIn account. Subscribing lifts all three limits at once.

  1. The free trial includes 50 sourced leads — subscribe to source more on a campaign's Leads tab ("Your workspace already has 50 leads. Once you subscribe, source again to find more.") means you have reached 50 leads across all campaigns.
  2. "This workspace has connected as many mailboxes as it is allowed." or "You've reached the mailbox limit for your plan. Subscribe to connect more." means you already have a mailbox connected.
  3. LinkedIn is available on the paid plan: "Your free trial covers email outreach. Subscribe to connect your LinkedIn account and send from it." (in Settings, LinkedIn connection or on the welcome screen) means LinkedIn needs a subscription.
  4. To lift the limits, an Owner or Admin clicks Go to Billing on one of these notices (or opens Settings, then Billing) and clicks Subscribe — $79/month.

Why did sourcing and sending stop after my trial ended?

When the 14-day trial ends without a subscription, Rainmaker stops finding new leads and pauses campaign sending. Nothing is deleted: campaigns, drafts, approved messages and conversations stay where they are.

  1. The banner reads "Your free trial has ended. Subscribe to keep sourcing, sending, and connecting LinkedIn."
  2. A sourcing run adds nobody, and the campaign's Leads tab shows Your free trial has ended — subscribe to keep sourcing: "The leads you already have stay in this campaign. Once you subscribe, source again to find more."
  3. Ask an Owner or Admin to click Go to Billing (or open Settings, then Billing) and click Subscribe — $79/month.
  4. Approved messages that were waiting go out once the subscription is active.

Why can't I see Billing or click Subscribe?

Only Owners and Admins manage billing. For Approvers, Editors and Viewers, the Billing card is hidden in Settings and the billing buttons are disabled.

  1. Check your role: open Settings, then Account, and look at Your role.
  2. Ask an Owner or Admin to subscribe, or to change your role.
  3. If you are an Owner or Admin and a button is still greyed out, wait for the current action to finish (for example Opening checkout…).

Why won't checkout or the billing portal open?

Rainmaker could not open the secure checkout page or the billing portal. You see "Checkout could not be opened." or "The billing portal could not be opened." In rare cases you see "Billing isn't configured yet — please try again later." or "Billing isn't configured yet — reach out to support to enable payments.", which means payments aren't switched on for your workspace yet.

  1. Wait a moment and click the button again.
  2. Make sure your browser allows the page to open (pop-up or redirect blockers can interfere).
  3. If you see "Your workspace role cannot perform this action. Ask an owner or admin for access.", ask an Owner or Admin.
  4. If a "Billing isn't configured yet" message stays, contact Rainmaker support by replying to any email Rainmaker sent you.

I paid but my subscription doesn't show as active. What now?

After checkout, the confirmation can take a few seconds to reach Rainmaker. The Billing page shows "Checking your subscription status. If it does not update shortly, refresh this page or open Manage billing." and checks again for about 30 seconds.

  1. Wait a minute, then refresh the Billing page.
  2. Open Manage billing to confirm the payment and see your invoice.
  3. If you see "Checkout was canceled. Your existing trial has not changed.", you left the checkout page before paying. Click Subscribe — $79/month again.

How do I cancel my Rainmaker subscription?

An Owner or Admin clicks Cancel at period end on the Billing page. Rainmaker keeps working until the end of the current billing period, then the subscription ends.

  1. Open Settings, then Billing.
  2. On the plan card at the top, click Cancel at period end (under the note). The status badge changes to "Cancels on" and the end date.
  3. Changed your mind? Click Keep subscription before that date.
  4. If you see "Subscription could not be updated.", try again or cancel from Manage billing.

What happens if my payment fails?

Rainmaker emails the notification recipient ("Your Rainmaker payment did not go through"), your status badge becomes Past due, and the charge is retried automatically. Your agent keeps working while the payment is retried.

  1. Open Settings, then Billing, and click Manage billing (or use Update my card in the email).
  2. Update your card. The charge is retried automatically.
  3. If every retry fails, the subscription ends and, after your free trial, sourcing and sending stop until you subscribe again.

How do disputed or cancelled meetings change my invoice?

A disputed or cancelled meeting no longer counts, so its fee is reversed. If the month is still open, the fee drops off your projected invoice. If that month was already invoiced, Rainmaker issues a credit against that invoice for what you were actually charged after the cap.

  1. On the Billing page, click Meeting ledger and select the meeting.
  2. In Dispute outcome, pick a Reason and click Record dispute. Only Owners and Admins see this.

How do extra sending channels change my bill?

From the November 2026 billing period, your plan includes 1 connected mailbox and 1 connected LinkedIn account for the whole workspace. Each extra one is $5 for every month it was connected, on any day of that month, with no proration.

  1. Teammates' mailboxes and LinkedIn accounts count toward the total.
  2. Rainmaker's own managed sending addresses do not count.
  3. Reconnecting the same mailbox address in a month counts once.
  4. The fee is its own line, Extra sending channels, and does not raise the meeting fee cap.
  5. Example: 2 mailboxes and 2 LinkedIn accounts are 2 extra channels, so $10.

Where do I find my invoices and change my card?

In the billing portal. An Owner or Admin opens Settings, then Billing, and clicks Manage billing (it reads Add payment method while your subscription is in a trial period).

  1. In the billing portal you can update the card, download invoices, see discounts and change the billing address.
  2. When you're done, the portal returns you to the Billing page.

How do referral credits show up on my bill?

A referral reward is added as a $10 credit on your account balance, described as "Referral reward - thank you". It comes off your next bill automatically, including the $79 subscription, and expires 30 days after it lands.

  1. Open Manage billing to see the credit on your balance.
  2. To check a referral's status, open Referrals in the sidebar.

Why does the Billing page say "Billing access required"?

The Billing page could not load your usage. The message under Billing access required says why, usually "Billing usage could not be loaded." or "Sign in and select a workspace before continuing."

  1. Refresh the page.
  2. If it asks you to sign in or select a workspace, do that, then open Settings, then Billing again.
  3. If an error appears above the page instead, try the action again in a moment.

What does Finalize previous period do?

It closes last month's usage now and sends its charges (lead overage, capped meeting fees and, from November 2026, extra channels) to your invoice. You normally don't need it: Rainmaker does this by itself in the first three days of every month. The button is in the Invoices & payment method row of the Billing page, and only Owners and Admins can use it.

  1. "Period … finalized — invoice … assembled and pushed." means it worked.
  2. "Period … was already finalized" means the month was closed before. A closed month does not change.
  3. A message that the invoice was finalized locally but could not be pushed means the month closed in Rainmaker but was not yet sent for payment. Try again later.
  4. "The previous billing period could not be finalized." Try again later.

Can I pay by bank transfer or be billed in euros?

No. Rainmaker bills in US dollars only, and charges automatically to the payment method you add on the secure checkout page. The app has no option to pay invoices by bank transfer or in another currency. The payment methods you can use are the ones the checkout page offers.

  1. To ask about another arrangement, reply to any email Rainmaker sent you. A person reads replies.

Can I add my VAT number or company details to my invoices?

Yes. On the secure checkout page you enter your billing address (required) and can add a tax ID such as a VAT number. Tax is then calculated from your billing address and shown on your invoices.

  1. To change your billing details later, an Owner or Admin opens Settings, then Billing, and clicks Manage billing.
  2. Your invoices stay in US dollars.

Is there a white-label option?

No. Rainmaker has no white-label or agency option. Each workspace is a Rainmaker workspace, and Rainmaker's own pages (sign-in, the unsubscribe and privacy pages, and the emails Rainmaker sends you) carry the Rainmaker name.

What you can make your own:

  1. Emails to prospects go from your own connected mailbox, so they come from your address and domain.
  2. You set the From name and the signature (full name, role, company and website) in Settings, Email deliverability, under Sending identity.
  3. LinkedIn messages go from your own connected LinkedIn account.

How do I invite a teammate to my workspace?

An Owner or Admin invites teammates from the Account page. The teammate gets an email with a link to Rainmaker's sign-in page.

  1. In the sidebar, click Settings, then Account.
  2. Under Invite teammate, type their Email.
  3. Pick a Role: Editor or Admin.
  4. Click Send invite. The invitation shows as Pending until they accept.

My teammate didn't get the invite. What should I do?

Check the pending invitation on the Account page, then revoke it and send a fresh one. There is no button to send the same invitation again.

  1. Open Settings, then Account. Find the invitation marked Pending.
  2. Check the email address on that row for typos. The invitation goes to exactly that address, from Rainmaker's sign-in service rather than your own mailbox.
  3. Check the "expires" date on the row. After it, the link no longer works.
  4. Click Revoke ("Invitation to … revoked."), then type the address again, pick the Role and click Send invite.
  5. When your teammate opens the link, Rainmaker's sign-in page says "You're invited to join the … workspace by …. Please sign in below." They sign in, or sign up with the invited address.
  6. If they are signed in as someone else, they see "You're signed in as …. Sign out to accept this invitation." and click Sign out first.
  7. If sending fails, the form says why: "This person is already a member of this workspace.", "This person already has a pending invitation. Revoke it first to send a new one.", "Your workspace has reached its member limit. Remove a member or revoke a pending invitation first.", "Enter a valid email address." or "Invitations aren't available for this workspace yet."

Why can't I invite teammates?

Only Owners and Admins can invite. If your role is Approver, Editor or Viewer, the Account page shows "Only an owner or admin can invite teammates." instead of the invite form.

  1. Check Your role on the Account page.
  2. Ask an Owner or Admin to send the invitation for you.

Why did my team invitation fail to send?

The message under Invite teammate tells you why.

  1. "This person is already a member of this workspace." They're already in. Nothing to do.
  2. "This person already has a pending invitation. Revoke it first to send a new one." Click Revoke on the pending invitation, then invite again.
  3. "Your workspace has reached its member limit. Remove a member or revoke a pending invitation first." Free a seat, then invite again. The section shows how many member seats are used.
  4. "Enter a valid email address." or "Check the submitted values and try again." Fix the email address.
  5. "Invitations aren't available for this workspace yet." Contact Rainmaker support by replying to any email Rainmaker sent you.
  6. "The invitation could not be sent." Try again in a moment.

How do I send a team invitation again or cancel it?

There's no button to send it again. Revoke the pending invitation, then invite the same email again. Revoking alone cancels it.

  1. On the Account page, find the invitation marked Pending.
  2. Click Revoke. You see "Invitation to … revoked."
  3. To send it again, type the same email, pick the role and click Send invite.
  4. If you see "This invitation was already accepted, revoked or has expired." or "This invitation no longer exists.", refresh the page: it's no longer pending.

How do I change a teammate's role?

The Account page has no role picker for existing members. Remove the person, then invite them again with the new role. The Owner's role can't be changed.

  1. On the Account page, click Remove next to the teammate and confirm.
  2. Under Invite teammate, invite the same email with the new Role.
  3. They accept the new invitation and come back with the new role.

Can I make someone an Approver or a Viewer?

Not from the invite form, which offers only Editor and Admin. Rainmaker supports the Approver and Viewer roles, but they can't be chosen when inviting. If you need one of them for a teammate, contact Rainmaker support by replying to any email Rainmaker sent you.

How do I remove a teammate from the workspace?

An Owner or Admin clicks Remove next to the person in the member list on the Account page. They lose access right away and any API keys they created stop working.

  1. Open Settings, then Account.
  2. Click Remove next to the teammate.
  3. Confirm in Remove teammate? by clicking Remove.
  4. You can't remove the Owner ("The workspace owner can't be removed.") or yourself ("You can't remove yourself from the workspace here.").
  5. "This person is no longer a member of this workspace." means someone already removed them. "The member could not be removed." means try again.

What can each role do in Rainmaker?

In short: Owners can do everything. Admins can do everything except workspace management. Approvers can work on campaigns, approve and send. Editors can shape campaigns, source leads and draft, but not approve or send. Viewers can only look.

  1. Only Owners and Admins can manage billing, integrations, data policy, exports and teammates, and switch a campaign to Autopilot.
  2. Only the Owner can use Operations (background work, spend cap, deleting the workspace).

Why does it say my workspace role cannot perform this action?

"Your workspace role cannot perform this action. Ask an owner or admin for access." (or "Your role is not allowed to perform this action.") means your role doesn't include that action, for example an Editor trying to approve, or an Approver trying to change billing.

  1. Check Your role on the Account page.
  2. Compare it with the roles table to see who can do the action.
  3. Ask an Owner or Admin to do it, or to give you a role that can.

Why can't an Editor create a campaign on their own?

Creating a campaign means approving its targeting, and Editors can't approve. An Editor can shape the targeting in the new-campaign wizard, but an Approver, Admin or Owner has to finish it. The wizard says Approval required to create campaigns.

  1. Shape the targeting as an Editor.
  2. Ask an Approver, Admin or Owner to run the wizard and approve the segments.
  3. If you see "Your role cannot approve campaign creation. Ask an approver, admin, or owner to approve this targeting.", that's the same rule.

What can a Viewer see and do?

A Viewer has read-only access. They can open most pages to look, but can't create campaigns, approve, send, connect a mailbox or change settings. Some lists, such as Contacts and the LinkedIn network, don't load for a Viewer.

  1. In the new-campaign wizard, a Viewer sees Read-only workspace: "An editor, approver, admin, or owner must create campaigns."
  2. To do more, ask an Owner or Admin for a different role.

Does each teammate need their own mailbox and LinkedIn account?

Yes, if they want campaigns to send from their own address and profile. Each person connects their own mailbox in Email deliverability and their own LinkedIn account in LinkedIn connection. Owners, Admins, Approvers and Editors can connect channels; Viewers can't.

  1. Each person manages the channels they connected. Owners and Admins can manage everyone's.
  2. From the November 2026 billing period, 1 mailbox and 1 LinkedIn account are included for the whole workspace, and each extra one is $5 a month.

Why does the team list say it could not be loaded?

"Your team could not be loaded. Refresh the page to try again." means the member list didn't load this time.

  1. Refresh the page.
  2. If it keeps happening, sign out and back in, then open Settings, then Account again.

Why don't I see some cards in Settings?

Some cards only appear for certain roles. Billing and Other integrations are for Owners and Admins, LinkedIn connection is hidden from Viewers, and Operations is for the Owner only. API keys only appears when API keys are available for your workspace.

  1. Check Your role under Settings, then Account.
  2. Ask an Owner or Admin to make the change, or to give you a role that can.

Why can't I change anything on a settings page?

Your role can open the page but not change it. Fields are greyed out and save buttons are hidden. Some pages say so: "Managing LinkedIn accounts requires the Campaign write permission." or "Managing API keys requires the Manage integrations permission."

  1. Policies and Web discovery changes need an Owner or Admin.
  2. LinkedIn connection changes need an Owner, Admin, Approver or Editor.
  3. API keys, Other integrations and the sending identity need an Owner or Admin.

Where are a campaign's own settings?

Each campaign has its own settings page, separate from workspace Settings. Open the campaign from Campaigns in the sidebar, then go to its settings to change its market, how leads are found, volume and budget, and the answers the agent can use in replies.

What is the Operations page for and who can see it?

Operations shows the health of Rainmaker's background work for your workspace: tasks waiting, running or stopped, service checks, sourcing health, connections and sending domains. The Owner can also retry tasks, set a monthly spend cap and delete the workspace there. Only the Owner sees the Operations card in Settings.

  1. In the sidebar, click Settings, then Operations under Under the hood.
  2. If you see Operations unavailable with "Operations data could not be loaded.", refresh the page.

How do I retry a failed background job?

On the Operations page, find the task in Queue and click Retry job. Only the Owner can retry or cancel tasks.

  1. Retry job works for tasks that are failed, dead or cancelled. A failed task also retries by itself.
  2. Cancel job works for tasks that are pending, failed or running.
  3. A dead task stopped after every attempt failed. Read its Error first and fix the cause (for example reconnect a mailbox), then retry.
  4. If you see "Job action failed.", refresh the page and try again.

How do I set a monthly spend cap for my workspace?

The Owner sets it in Spend controls on the Operations page. It is a hard monthly ceiling on total send spend across every campaign, and sending pauses once it is reached.

  1. Open Settings, then Operations.
  2. In Monthly spend cap, enter an amount in USD. Leave it blank for no cap.
  3. Click Save spend cap. You see "Workspace spend cap saved." or "Workspace spend cap could not be saved."

What does Production verification on the Operations page mean?

It's a checklist of the services your workspace relies on. Test now means a check is ready to try, Partial means a limited path works, and Setup first means it isn't available yet. Still needed says what's missing.

  1. Click the button on a row to go to the page where you fix or test it.
  2. If you see "The deployment preflight could not be loaded. Retry before running any provider-backed test.", click Refresh.

Do I need to do anything on the Web discovery page?

Usually not. Web discovery finds companies and people on public web pages and records where each came from. Owners and Admins can approve the recipes Rainmaker proposes and set rules for specific websites, but campaigns work without that.

  1. Under Extraction templates, approve or decline any draft recipe. You see "Extraction template approved." or "Extraction template declined."
  2. If you see "Template review could not be saved.", refresh: it may already have been reviewed.
  3. A warning at the top means web discovery isn't set up for your workspace yet. Campaigns still source leads from other sources.

How do I stop Rainmaker reading a particular website?

Add a domain policy with the status Blocked. Owners and Admins can do this on the Web discovery page.

  1. Open Settings, then Web discovery.
  2. Under Domain policies, type the Domain, set Status to Blocked, and click Save policy.
  3. You see "Domain crawl policy saved." If you see "Domain policy could not be saved.", check the domain and try again.
  4. To limit rather than block a site, keep Active and lower Maximum pages, Maximum depth or add Denied paths.

What does Rotate credential encryption do?

It re-encrypts the stored credentials of your connected tools, as a security precaution. The Owner finds it on the Operations page.

  1. Click Rotate credential encryption under Security controls.
  2. You see "… credentials rotated." or "Credential rotation failed." If it failed, try again.

Why can't I create an API key?

The message on the API keys page says why. Only Owners and Admins can create keys, and only if the API keys card is shown for your workspace.

  1. "Give the key a name." Enter a Name.
  2. "Expiry must be in the future." Pick a later date or leave Expires (optional) empty.
  3. "This workspace has reached the active-key limit. Revoke an unused key first."
  4. "None of the selected permissions are yours to grant — the key was not created." Tick only permissions your role has.
  5. "The key may not have been created — refreshing the list." Check the Keys list before trying again.
  6. Read-only: "Managing API keys requires the Manage integrations permission." Ask an Owner or Admin.

Why can't I contact people in a particular country?

Rainmaker only sources and contacts people in your active markets. If a country isn't active, or isn't available, its leads aren't found and their messages are blocked.

  1. Open Settings, then Policies, and check the country is listed under Active markets. If not, an Owner or Admin adds it and clicks Save changes.
  2. For a European country, your company's legal details must be complete first. See the next question.
  3. Check the country's badge. not available yet or limited means it isn't fully available yet: contact Rainmaker support by replying to any email Rainmaker sent you.
  4. Countries outside the United States and Europe aren't supported.
  5. The campaign's own market must also be one of your active markets. Check the campaign's settings.
  6. Rainmaker only contacts people with a professional role at a business with its own web domain, and a lead with no known country isn't contacted. The exception is people added from your LinkedIn network: Rainmaker detects each one's country, sends nothing while it is Detecting country…, never contacts someone marked Outside campaign markets, and applies the strictest (European) rules to Country unknown — strictest rules applied, which needs an active European market.

How do I turn on European markets?

Fill in your company's legal details on the Data policy page and save. The save that completes them switches on every available European market by itself.

  1. Open Settings, then Policies.
  2. Under Controller and notice, fill in Controller name, Privacy contact and Controller address. Privacy notice URL is optional.
  3. Tick Source disclosure ready and Policy reviewed.
  4. Click Save changes. You see "… European markets are now active as well".
  5. If some markets are still off later, click Activate all … markets in the More markets available notice.

Why won't my data policy save?

The message above the form, and under the field, says what to fix.

  1. "Complete the European policy requirements before activation: …" A European market is selected but the listed details are missing. Fill them in, or remove the European markets.
  2. "Privacy notice URL must start with https://" Enter a full web address.
  3. "Privacy contact must be a valid email address, for example privacy@your-company.com"
  4. "Controller name must be 200 characters or fewer" or "Controller address must be 500 characters or fewer"
  5. "US retention must be between 1 and 365 days" or "European retention must be between 1 and 180 days"
  6. "Select at least one market" or "Select at most 50 markets"
  7. "Policy changed in another session. Refresh before saving." Click Refresh, make your change again, and save.
  8. "Workspace policy could not be saved. Review the fields and try again." Check every field and try again.
  9. If there's no Save changes button, your role can't change the policy. Ask an Owner or Admin.

What do recipients see at the bottom of my emails?

Your signature (name, role and company, and website, when set), then one last line: "P.S. If this isn’t relevant, simply reply “NO” and I won’t follow up." Every email ends this way, in every market. There is no privacy notice link in emails. Mail apps such as Gmail and Outlook also show their own Unsubscribe button for every Rainmaker email.

  1. Edit your signature in Settings, Email deliverability, under Sending identity.
  2. The P.S. line is locked: you can't edit or remove it.
  3. Your Privacy notice URL in Settings, Policies is optional and isn't added to emails.

Someone asked to be removed from my outreach. What do I do?

If they used the Unsubscribe button, the privacy page, or replied asking to stop, Rainmaker has already recorded it and won't contact them again. If they asked another way, stop their pending messages and point them to the privacy page.

  1. In Review, reject any of their drafts still waiting.
  2. Send them to Rainmaker's public Privacy and opt-out page, linked from the Trust page, and ask them to choose Opt out of all outreach or Delete identifiable data.
  3. Once they confirm by email, they're on the global do-not-contact list.
  4. There's no button to add someone to the do-not-contact list yourself.

Can I un-suppress someone who opted out?

No, not for a genuine opt-out: the unsubscribe button, a confirmed privacy request, or a reply Rainmaker read as an explicit request to stop can't be undone from the app. There's also no way to resume outreach to someone who replied no.

The only exception is for the Owner, when an older unsubscribe record came from an automatic reading of a reply that only quoted an earlier footer:

  1. Open the lead and, on the held message, click Why hasn't this sent?
  2. If a Misclassified unsubscribe notice appears, read the person's actual reply.
  3. Click Remove from do-not-contact (misclassified unsubscribe) and confirm with Remove. This applies to every workspace.
  4. "This address could not be removed from the do-not-contact list." means the record doesn't qualify or the request failed.

Does an opt-out apply to every Rainmaker workspace or just mine?

An unsubscribe, a reply asking to unsubscribe (including a reply that just says "stop"), or a confirmed privacy request blocks the address for every Rainmaker workspace. A reply that just says no or not interested, including "NO" as the P.S. line at the end of every email invites, only stops outreach from your workspace.

How can a recipient ask for their data or have it deleted?

They use Rainmaker's public Privacy and opt-out page, linked from the Trust page. No account is needed.

  1. They enter their Email address and pick a Request type: Opt out of all outreach, Delete identifiable data or Tell me what you hold.
  2. They click Submit request and get an email, "Confirm your privacy request", with a link that works for 24 hours.
  3. Opening the link carries out the request. For Tell me what you hold, the page shows the data.
  4. If the link has expired, the page says "This link cannot be used" and asks them to submit the request again.
  5. If their browser sends a Global Privacy Control signal, the request is treated as an opt-out.

What is erased when someone asks for their data to be deleted?

Their identifying details are erased everywhere Rainmaker holds them, in every workspace: name, email address, title, LinkedIn profile, the messages sent to them and their replies, and research notes and sources about them. Anonymous record shells stay so campaign numbers still add up, and a minimal do-not-contact record is kept so they're never contacted again.

How long does Rainmaker keep prospect data?

Up to 365 days for United States leads and up to 180 days for European leads, counted from when the lead was added. An Owner or Admin can set shorter limits.

  1. Open Settings, then Policies.
  2. Under Retention limits, set United States (1 to 365 days) and Europe (1 to 180 days).
  3. Click Save changes.
  4. Leads older than the limit have their identifying details erased automatically.

Who can export lead data from Rainmaker?

Owners and Admins. They open a campaign's Leads page and click Export CSV. Other roles don't see the button.

What are Personal email fallback and Phone enrichment?

Two optional settings, off by default. Personal email fallback uses a personal email address from a professional data provider for US prospects who have no work address. Phone enrichment requests phone numbers for manual calling; numbers on do-not-call lists stay blocked.

  1. Owners and Admins turn them on in Settings, Policies, under Controller and notice.
  2. A warning titled Personal email fallback isn't available yet or Phone enrichment isn't available yet ("Rainmaker hasn't switched this on for your workspace yet, so the setting has no effect for now.") means the option has no effect until Rainmaker switches it on for your workspace.

What does Anonymous aggregate learning share?

It shares anonymous, rolled-up outcomes to help improve Rainmaker, and only once privacy thresholds are met. Nothing identifies a person. It is off by default.

  1. Turn it on or off in Settings, Policies: Anonymous aggregate learning.
  2. Click Save changes.

I can't sign in to Rainmaker. What should I check?

Most sign-in problems come from using a different method or email address than the one you signed up with.

  1. Sign in the same way you signed up: with the same button at the top of the card, or with the same email address.
  2. If you use a password and have forgotten it, use the forgotten-password link on the sign-in card to reset it.
  3. If you signed up with email, look for the verification code in your inbox (and spam folder) and enter it.
  4. If sign-in works but you then see the workspace chooser, that is normal: pick or create a workspace. See the next question.

Why does Rainmaker keep sending me to "Choose an organization"?

Rainmaker needs an active workspace for every page, and the workspace chooser (called Choose an organization) appears when none is selected. This happens to new accounts, after you leave or are removed from a workspace, when your sign-in has expired, and when a workspace has been scheduled for deletion. Pages may also show a message starting with "Sign in and select a workspace", such as Sign in and select a workspace before continuing., Sign in and select a workspace., "Sign in and select a workspace to view campaigns.", "… to view campaign leads.", "… to review drafts.", "… to review this batch.", "… to view this inbox." or "… to view reply quality.", or Select a workspace before continuing. On Home and Insights you may see Select a workspace ("Choose the workspace you were invited to, then continue to Rainmaker.").

  1. Refresh the page. If you are asked to sign in, sign in again.
  2. Click the workspace you want to open, or click Select workspace.
  3. If the list is empty, create one with Create organization, or ask your team to invite you.
  4. If you expected to see a workspace that is missing, ask its Owner or Admin whether you are still a member, or whether the workspace was deleted.

I didn't get my team invitation email. What now?

The invitation goes to the exact address the Owner or Admin typed, and contains a link to Rainmaker's sign-in page.

  1. Ask the person who invited you to check the invitation under Settings, Account: it shows as Pending with the address it was sent to and its expiry date. If the address is wrong or the invitation expired, they revoke it and invite you again: see Team and roles.
  2. If you already have a Rainmaker account with the invited address, sign in: the invitation may appear in the workspace chooser or switcher with a Join button.

How do I switch to a different workspace?

Click the workspace name near the top of the sidebar and pick another workspace. Rainmaker opens its Home page.

  1. To create a new workspace instead, click Create organization in the same menu.
  2. Each workspace has its own data, team, trial and billing.

How do I leave a workspace?

Use the workspace switcher: click the workspace name in the sidebar, choose Manage, then Leave organization on the General tab, and type the workspace name to confirm.

  1. You lose access straight away. The workspace and its data stay with your team.
  2. You can't remove yourself from Settings, Account; that page only lets Owners and Admins remove other people.
  3. The Owner can't be removed. To close the whole workspace instead, the Owner deletes it.

How do I change my name or profile photo?

Click your name at the bottom of the sidebar and choose Manage account, or go to Settings, Account and scroll to Profile. Update your name or photo on the Profile tab.

  1. These details are personal and only change how you appear in Rainmaker.
  2. The name your prospects see on emails is separate: change the From name and signature in Settings, Email deliverability.

How do I reset my password?

It depends on how you sign in. If you sign in with a Google or Microsoft button, you don't have a separate Rainmaker password: reset it with Google or Microsoft. If you sign in with your email and a password, you can reset it from the sign-in page.

  1. Signed out: open the sign-in page, enter your email, and use the forgot-password link on the password step. Follow the code or link sent to your email.
  2. Signed in: click your name at the bottom of the sidebar, choose Manage account, open the Security tab and change your password there. If you signed up with a button, this is also where you can set a password for the first time, if the option is shown.
  3. If no reset email arrives, check your spam folder and make sure you used the address you signed up with.

How do I change my login email?

Add the new address to your profile, confirm it, and make it your primary address.

  1. Click your name at the bottom of the sidebar and choose Manage account (or Settings, Account, Profile).
  2. On the Profile tab, under Email addresses, click Add email address and enter the code sent to the new address.
  3. Open the new address's menu and choose Set as primary. You can then remove the old address.
  4. This changes your sign-in only. It does not change where Rainmaker's notification emails go (that is the Recipient in Email notifications) or the address your outreach is sent from (your connected mailbox).

How do I change who gets Rainmaker's notification emails?

All of Rainmaker's emails for a workspace go to one address, the Recipient in Email notifications. Only an Owner or Admin can change it.

  1. In the sidebar, click Settings, then Other integrations.
  2. Under Email notifications, change Recipient.
  3. Click Save email preferences. You see Email notification preferences saved.
  4. To reach several people, use a shared team address.

How do I stop the weekly digest or reply alerts?

An Owner or Admin can turn each type off for the whole workspace in Settings, Other integrations, Email notifications.

  1. Untick Send the weekly digest every Monday to stop the digest.
  2. Untick Email me when a prospect replies or books a meeting to stop reply and meeting alerts.
  3. Untick Product tips and reminders (drafts waiting for review, setup steps, trial follow-ups) to stop reminders.
  4. Click Save email preferences. If you see Digest preference could not be saved., check that Recipient is filled in while the digest is on, then try again.

Why didn't I get this week's digest email?

The digest goes out on Mondays to the workspace's Recipient, if Send the weekly digest every Monday is ticked. Rainmaker also spaces out reminder-type emails, so a more urgent one (such as a trial reminder) can go first, and a digest that can't go out by mid-week is skipped for that week.

  1. Check the setting and the Recipient address in Settings, Other integrations, Email notifications.
  2. Check your spam folder.
  3. If the address belongs to a teammate, they received it instead.

Why can't I turn off the sending paused emails?

Emails such as "Sending paused on your (campaign) campaign", "Your LinkedIn sending is paused" and "Your mailbox disconnected, so sending is paused" tell you that outreach has stopped. They are always on, so you never miss one. The same goes for the welcome email, trial reminders and payment problems.

  1. Follow the button in the email (for example Reconnect my mailbox) to fix the cause.
  2. To send these emails to someone else, change the Recipient in Email notifications.

When do I get my $10 referral credit?

You and your friend each get $10 when your friend pays their first bill, not when they sign up. A free trial or a $0 bill doesn't count.

  1. Open Referral Rewards in the sidebar and look at Your referrals.
  2. On trial - waiting for first bill means they haven't paid yet.
  3. Paid - credit on its way means the credit is being added. If you are still on your own trial, it is added once your paid plan starts.
  4. Credited - expires (date) means it is on your account and comes off your next bill automatically. Use it within 30 days.

Why didn't my referral earn any credit?

A referral earns credit only when the rules are met. The most common reasons are:

  1. Paid - over the monthly limit, no credit: you already earned 10 rewards in the last 30 days. Neither of you gets credit for this one.
  2. Your friend didn't sign up through your link, or signed up in a different browser from the one where they opened it, so they don't appear in Your referrals.
  3. Your friend joined an existing workspace instead of creating a new one. Only new workspaces count, once each, and you can't refer your own.
  4. Expired unused: the 30 days ran out before a bill used the credit.

How do I delete my workspace?

The Owner deletes a workspace from Settings, Operations, under Delete workspace.

  1. Cancel any paid plan in Settings, Billing first, and export lead lists you want to keep.
  2. Type DELETE in the box and click Schedule deletion.
  3. You see Workspace deletion scheduled. Access is now locked while the retention-safe purge waits through the grace period. Nobody can open the workspace from then on, and there is no undo button.
  4. If you see Workspace deletion could not be scheduled., try again later.

How do I delete my Rainmaker account?

Your account (your sign-in) and your workspaces are separate. Rainmaker has no button of its own for deleting your personal account; what you can do depends on what you want removed.

  1. To stop being part of a team, leave the workspace: click the workspace name in the sidebar, choose Manage, then Leave organization.
  2. To delete a workspace and its data, the Owner uses Delete workspace in Settings, Operations (see the question above). Deleting your account does not do this.
  3. If the Security tab of your profile (your name at the bottom of the sidebar, then Manage account) shows a Delete account option, it removes your sign-in only.
  4. If you don't see that option, or you want everything about you removed, reply to any email from Rainmaker to reach a person and ask for your account to be deleted.

Why can't I see Email notifications or Delete workspace in Settings?

These settings are limited by role. Email notifications (in Other integrations) is for Owners and Admins. Delete workspace (in Operations) is for the Owner only.

  1. Check your role in Settings, Account, under Your role.
  2. Ask an Owner or Admin to make the change, or to give you the access you need.
