How to edit your campaign sequence in Rainmaker
Set when each email goes out, the days and hours Rainmaker may send, when to stop, and how your LinkedIn follow-ups are spaced.
A campaign's sequence decides when its messages are sent, not what they say. Copy is drafted separately and reviewed in Review. A new campaign starts with three emails, on day 0, day 3 and day 7, sent Monday to Friday between 09:00 and 17:00 UTC.
Anyone with the owner, admin, approver or editor role can change the sequence.
1. Open the Sequence section
Open Campaigns, open a campaign, and stay on its Overview tab. Scroll to Sequence. Each row is one email step, with its delay and a Status that counts how many of that step's emails are sent, approved and pending.
2. Set the sending window
Pick the Timezone the window is measured in, then the Start and End time, and tick the days Rainmaker may send on (Mon to Sun). Emails are only sent inside this window. The window applies to the campaign's LinkedIn messages too.
3. Change the timing of each step
Type a new delay in days for a step. Step 1 always goes out on day 0, and each step must come later than the one before it, up to day 90. A delay counts in calendar days from when the email is approved; if that lands outside the sending window, the email waits for the next open slot. A step is also never sent before the previous step has gone out.
Click Add step to add one (up to eight), or the bin icon to remove a step. Rainmaker drafts copy for the opening emails only; extra steps set the timing of signal-triggered follow-ups that are added after the last drafted step.
Stop on reply and Stop on meeting end the sequence for a person as soon as they reply or book a meeting. Both are on by default.
4. Save the sequence
Click Save sequence. You should see Sequence saved and pending sends rescheduled. at the top of the page. If you see Check the submitted values and try again., look for a step that is not later than the one before it, an end time before the start time, or no sending day ticked.
5. Space out your LinkedIn follow-ups
LinkedIn has its own sequence below, under LinkedIn sequence, with its own Save LinkedIn sequence button. It starts with the Connection note, sent when Rainmaker connects with the person. Each Follow-up is counted in days from the day the person accepts, so 3 and 10 mean two messages a week apart. A new campaign has three follow-ups, on day 0, 3 and 10 after acceptance; you can have up to four, or none.
Every follow-up is drafted together with the connection note, so you approve the whole LinkedIn sequence at once.
What happens to emails already in progress
Saving changes timing only; it never rewrites a draft. Here is what happens to the campaign's emails when you save:
- Sent emails are not affected.
- Approved emails that have not gone out yet are rescheduled from the moment you save: each one is due its step's new delay after the save, inside the new window. This includes people who are part-way through the sequence.
- Drafts waiting for approval keep waiting. Their timing is set when they are approved, using the sequence as it is then.
- Removing a step is refused while any email at that step is still drafted, waiting or approved. Reject those emails, or let them send, then remove the step. Until then, saving shows Sequence could not be saved.
