How to manage meetings after they are booked in Rainmaker

A booked meeting pauses that lead's sequence. Here is how to clear a false match, cancel a meeting, resume outreach, follow up after a no-show and dispute a fee.

When a meeting is booked with a lead, Rainmaker stops sending them the rest of their sequence. This guide covers what you can do from then on. How a meeting becomes qualified and billed is explained in how meetings are counted, so it isn't repeated here.

1. See that the sequence is paused

Open the lead's details from the campaign's Leads tab. Under Sequence, Sequence paused — meeting booked gives the meeting date and says that new drafts are held while the meeting is active. Steps that were already approved stay listed but don't send.

2. Clear a meeting that isn't real

Rainmaker also spots meetings on your calendar by itself. If it matched the wrong event to this lead, click Not a real meeting, then Mark not real in the confirmation. Rainmaker stops tracking the meeting, reverses any fee already charged for it and resumes outreach to the lead straight away. Your calendar event is not touched.

The button only appears for a meeting Rainmaker spotted itself. On the Meetings page the same action is called Not a real meeting too, and its confirmation is Dismiss.

3. Cancel a meeting

In the sidebar, click Inbox & Meetings, then the Meetings tab, and select the meeting. Click Cancel event, then Cancel event again in the confirmation. Rainmaker asks your calendar to cancel the event and reverses any fee billed for it. You see Calendar cancellation queued. This page will update after the provider confirms it.

Outreach to the lead stays paused after a cancellation, until you resume it.

4. Resume outreach after a cancellation

When a meeting is cancelled, by you or by the other person, its lead's details show Sequence paused — meeting cancelled, and the meeting on the Meetings page shows Outreach paused. To start the sequence again, click Resume outreach in either place. On the Meetings page you see Outreach resumed for this lead.

If you'd rather not contact the lead again, leave it paused.

5. Follow up after a no-show

When the meeting time passes without an accepted invitation, the meeting shows Needs follow-up. Select it and click Draft follow-up. You see Follow-up drafted. Review and approve it in the campaign inbox before it can send. The follow-up never sends on its own: open the campaign's inbox, check it and approve it there.

6. Dispute a fee

If a meeting shouldn't count, for example the person had no buying role or it was a duplicate, someone who manages the workspace's billing selects it on the Meetings page. Under Dispute outcome, pick a Reason, add a Note if you like and click Record dispute. Any fee already charged for it is reversed.
